Job Summary Directs and manages Fellowship Programs in the Department of Medicine (directly responsible for Hematology/Oncology, Palliative Care, Pulmonary/Critical Care, and Rheumatology; coordinates all others). This individual serves as an advisor and consultant to the Chair, Vice-Chair, Administration and Planning, Vice-Chair Education, and Program Directors and their administrative contacts for the Department of Medicine with the management and operational aspects of their Fellowship Programs. Monitors the status of all current administrative issues related to GME and provides follow-up on behalf of the Vice-Chair as requested. These functions are performed in accordance with all applicable laws and regulations and Georgetown University Hospital's philosophy, policies, procedures, and standards. Minimum Qualifications BA/BS degree required. Master's degree preferred in field related to education or health care administration. Minimum of one to two years' experience, preferably in an academic medical setting. Prefer experience with educational program (particularly GME and CME).Primary Duties and Responsibilities Administers specialty program reviews and activities involving accreditation (including external & internal reporting) and, if needed, corrective action plans. Ensures that graduate medical education and continuing professional education programs are following the Accreditation Council for Graduate Medical Education, Medicare, and other regulatory agency standards, as well as Georgetown University Hospital Policies. Is responsible for assuring that all ACGME requirements are met to include but not limited to curriculum, content, and evaluations with regards to the fellowship programs and their execution. Remains current on accreditation and regulatory standards through review of professional literature and periodically attending educational workshops. Develops and implements strategic initiatives and operating plans for fellowship programs in the Department of Medicine in concert with program directors, chiefs, the Vice-Chair for Administration and Planning and the Department Chair. Develops fellowship budgets and maintains a three-year planning document of all fellowship positions and funding sources. Ensures all fellows are paid at the correct PGY level and from the correct cost center(s). Reviews the accuracy of all Department of Medicine fellows' personnel documentation for accuracy and submits corrections as needed. Ensures adherence to GME policy and procedures of the institution and advises the Department Chair and Vice-Chairs on recommended procedural and operational issues in GME. Monitors duty hours and other reports required by the office of Graduate Medical Education and provides reports according to their schedule. Maintains a repository of reports for all GME programs in the Department of Medicine. Coordinates Electronic Residency Application system and Web page development with Program Directors. Processes personnel forms and offer letters for all new fellows and assists in the orientation process. Ensures timely processing of Immigration and Naturalization Service visas, and ECFMG (foreign graduate training verification) for all foreign appointees including dialog with the Contracts and GME Office. Maintains original hard copy file of all documents including application, employment documentation, recommendations, credentials verification and INS certification. Establishes and maintains database of applicants including application status and ranking. Supervises the recruitment process for fellows in the Department of Medicine including applicant interviews, scheduling, and coordination of faculty schedules, national matching processes, and offers/rejections. Assists in arranging for external rotations. Coordinates elective rotations for residents to the department through appropriate faculty members. Uses sensitivity and discretion, independently prioritizes and screens phone calls and visitors. Informs the administrators of operational problems. Schedules, organizes, and staffs meetings as requested. Attends meetings as assigned and reports on major points, actions resolved or to be taken.
