The Human Resources Executive Assistant will support the Executive Vice President, HR& Corporate Responsibilityon a day-to-day basisas well as the broader HR, Events,and Corporate Communicationsteams.Thisisa highly visible rolethatwillserve asa trusted partner to theEVP, providing calendar management, scheduling, meeting logistics as well as coordination and support with a variety of tasks of a confidential nature. Most notably this role will support preparation for the quarterly Board meetings and for multiple Board Committees.In addition,in a Coordinator capacity,this role will alsoassist withtheadministration ofHRprojects andpeopleprocesses andwill work closely with the extended HR teaminconducting these activities.The successful candidate must be self-motivated,haveimmaculate attention to detail,have apersonablestyle andnatural rapportthatbuildsrelationships and createsa welcoming environmentwithin the HR department for all employees.Also,of upmost importance is the ability toworkwith minimal daily supervisionwhile maintainingthe highest level of professionalism, confidentialityand discretionat all times.Key ResponsibilitiesExecutive AssistantResponsibilities:Maintain the EVP's calendar, including arranging meetingswith bothinternal and external parties, and coordinating travel and conferencesProvide supportand act as point of contactfor those reaching out to the EVP,assist callers as needed, including routing callsor inquiriesto the appropriatedepartmentalcontactSupport the SVP, Human Resourcesand VP, Corporate Communicationswith calendar, traveland schedulingon an ad hoc basisAssist with the quarterly Board Meetings andprepare, compile,andproofBoard materialsfordistributionvia an onlineportalAssist with interview schedulingPartner with other Executive Assistantsacross the organizationas neededCoordinate department meetingsand distribute department mailDraft, prepare and distribute correspondence and memorandaProcess department invoices for paymentOrder office supplies for the department,as neededHR Coordinator Responsibilities:Support the Service Anniversary Award program;Create and distribute service anniversary award letters for the organizationandassistwithservice anniversary lunches/celebrationsplanningPartner closely with the Corporate Communications team to communicatevariousHR-related updatesthrough the most effectivecommunicationchannelsSupport the administration and operations of coreHR programssuch as wellness and recognitionRespond to employment verification requestsOther duties as assignedEducation/ExperienceHigh school diplomarequired;four-year college degree a plus5+ years ofprogressivecorporateexperience in an Executive Assistant role supporting C-level executivesand their departmentsExperience working in HRand/orina publicly traded company are desiredRequired SkillsExcellent oral and written communication skillsProficiency in Microsoft Office Suite,SharePointand Visioand comfort withlearning new technologyStrong interpersonal skillsandabilityto interact with all levels of employees; demonstratesgood judgment and discretion in handlingcommunication and sensitivesituationswhile maintaining a calm demeanorStrong attention to detail in order to deliver high-quality deliverablesStrong planning, time management and organizational skillsAbility to multi-task and prioritize appropriatelyMustbe able tomaintain confidentiality at all timesHRIS experience a plusIt is the policy of Host Hotels & Resorts to provide equal employment opportunity (EEO) to all persons regardless of race, color, religion, national origin, gender, age, sexual orientation, gender identity, gender expression, ancestry, genetic information, disability, marital status, or veteran status, or any other characteristic protected by federal, state or local law.
