The volunteer coordinator is responsible for overseeing all volunteer recruitment and onboarding efforts at the IRC in Baltimore. The coordinator will work across all programs in the office to support office activities and goals by hosting regular volunteer information sessions and recruiting, screening and onboarding new interns and volunteers. The coordinator will directly manage recruitment and training for three internship cohorts (approximately 50 interns), three youth success coaching cohorts (approximately 30 coaches), and ongoing family mentor matches (approximately 20) each year. The coordinator will also develop relationships with faith-based and community organizations in order to expand outreach efforts as needed. ESSENTIAL FUNCTIONS: Internship Program Coordination (approximately 30%) * Ensure the IRC maintains an active, effective, professionally managed intern and volunteer program. * Liaise actively with program managers and other staff members on intern/volunteer opportunities for their respective programs. Ensure assignment descriptions align with staff and client needs and are consistently formatted and posted. * Organize three recruitment cycles (fall, spring, summer) and manage office-wide application and interview process. * Oversee onboarding and exit process for all interns. This includes processing background checks, setting up and closing IRC accounts, leading general orientation sessions, and managing other situations as needed. Family Mentor Program Coordination (approximately 25%) * Conduct outreach for the Family Mentor Program as needed. This includes meeting with individuals, community and faith-based organizations who are interested in supporting the mission of the IRC. * Maintain strong referral relationships with all IRC staff. Develop family profiles based on referrals. * Recruit, screen and match family mentors to support refugees and asylees. * Update training materials for new mentors and resources to share with mentors as activities to do with their mentees (ie English for Speakers of Other Languages (ESOL) materials, employment preparation). * Provide ongoing training and support to mentors and troubleshoot any issues that arise. * Coordinate monthly group session with mentors and mentee clients, and 1-2 mentor appreciation events per year. * Conduct exit interviews and surveys with program participants.Youth Success Coach Coordination (approximately 25%) * Conduct outreach for the Youth Success Coaching Program as needed. * Conduct at least three training sessions throughout the year for the fall, spring and summer coaching cohorts. * Work with the colleagues to plan group cohort sessions, facilitate group meetings and match volunteer success coaches with enrolled high school students and young adults. * Update training materials for new coaches and resources to share with mentors as activities to do with their mentees (ie English for Speakers of Other Languages (ESOL) materials, employment preparation). * Conduct exit interviews and surveys with volunteer success coaches program participants.Outreach, Training and Other (approximately 20%) * Represent IRC at local meetings, seminars, forums, and other community outreach opportunities, as coordinated with the deputy director. * Conduct outreach, networking activities, and other advertising to recruit and educate potential donors, interns, volunteers, and partners as needed. * Assist in managing shared mailboxes, Facebook page, and other external-facing communication. * Respond to intern/volunteer queries in a timely and professional manner. * Organize and lead 8-10 info session webinars per year to provide an overview to potential volunteers of all current volunteer opportunities. * Maintain individual files on all interns and volunteers, record and report all intern/volunteer time, and keep accurate documented electronic records. Coordinate with colleague(s) to ensure volunteer processing and documentation is tracked. * Update and develop resources to manage intern and volunteer lifecycle. * Supervise community engagement interns or other volunteers as needed. * Other tasks and projects as assigned. Qualifications* Bachelor's degree from an accredited university or college preferred. * At least two years' experience managing volunteer or related programming. * Experience working with resettlement/immigrant populations strongly preferred. * Experience conducting training sessions preferred. * Demonstrated ability and interest to cultivate partnerships with community organizations to meet mutual goals. * Strong strategic thinking, planning and organizational skills. * Reliable, flexible and able to work independently and under pressure in a fast-paced environment. * Fluency in English; spoken and written. * Strong communication and interpersonal skills. * Creativity and initiative to follow through on projects. * Ability to work effectively in a multi-cultural setting. * Excellent computer skills (ie experience or willingness to learn Microsoft products, Google Drive, Salesforce, Box, etc.); proficiency in creating presentation or outreach materials a plus. * Some evening and weekend hours will be required. * Valid driver's license, reliable access to a vehicle with current insurance, and the ability to travel throughout the Baltimore area required. WORKING ENVIRONMENT Standard office work environment.
