Summary

This position is part of the Organization of the Joint Chiefs of Staff. Responsible for assignments of the highest priority and significance and must employ a detailed understanding of the Executive Director, Joint History and Research Office preferences and philosophy, as well as overall policies and viewpoints of the Chairman of the Joint Chiefs of Staff (CJCS). This position requires a high level of attention to detail and ensures continuity within the high-profile office.

Responsibilities

As a STAFF SPECIALIST at the GS-0301-12 some of your typical work assignments may include:
  • Serves as the executive assistance for the Executive Director, Joint History and Research Office. Prepares and maintains the Executive Director, Joint History Office's daily work schedule and long range calendar in coordination for the Director, Joint Staff. Provides background material and coordinates with offices prior to scheduled activities/engagements. Arranges transportation, clearances, itineraries/read-ahead or prep-books to the Executive Director. Consistently keeps Executive Director informed of anticipated problems, where appropriate, suggests solutions or advises him/her of course of action to follow.
  • Develops and maintains personal contacts in order to secure and prepare information of critical importance to the Executive Director, Joint History and Research Office. Advises the Executive Director on preparations for conferences, meetings and official functions sponsored by the Joint History and Research Office.
  • Serves as the office manager for the Joint History and Research Office. Provides for the effective management and coordination of a wide variety of complex and sensitive projects and action correspondence. Monitors and maintains all internal and external actions and formal staffing processes for the office, including Joint Staff actions, and travel for the office personnel.
  • Coordinate with various organizations across the Joint Staff and Department of Defense to ensure required administrative functions for the Joint History and Research Office personnel are accomplished. Ensures proper in-processing, clearances requests, correspondence management within the Joint staff and senior military and civilian officials.
  • Edit, format, and review written correspondence and papers for the Executive Director and Director, Joint Staff.
  • Ensures appropriate coordination so that Joint History and Research personnel are included in and/or informed of decisions and actions on behalf of the Executive Director.
  • Ensures appropriate liaison and coordination is conducted with key senior civilian and military officials within the DoD or other departments and agencies as necessary.

Qualifications

You may qualify at the GS-12, if you fulfill the following qualifications:

A. One year of specialized experience equivalent to the GS-11 grade level in the Federal service:
  • Applies knowledge and experience of senior-level executive administrative and correspondence requirements and practices of for senior military officials and civilian leadership.
  • Corresponds with senior military and civilian officials and their staffs at the highest levels of the US Government and with senior foreign officials on organizational/agency, missions, roles, functions and administrative policies.
  • Applies knowledge of major national policy, issues of their importance to the military community, the Joint arena, and national security requirements.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Education

Substitution of education may not be used in lieu of specialized experience for this grade level.
