Job Announcement

This position will be reporting to the West Springfield Police Station. Answers incoming telephone calls and directs them to the appropriate resource. Furnishes information to citizens on criminal and traffic laws as well as public safety matters. Inspects the workplace during each tour of duty to ensure that equipment is working properly and that no hazards exist. Monitors closed circuit TV cameras and audible alarms for fire, burglary, emergency power, etc. Makes required security checks of the building and property. Enters data into the computer-aided dispatch (CAD) system regarding warrant and arrest checks, Division of Motor Vehicle listings, etc. Initiates police service calls via CAD and writes police reports in the Records Management System (ILEADS). Relays messages to patrol officers. Maintains a telephone number for every squad member. Keeps superiors informed on major events and weather forecasts. Handles administrative tasks for a team of patrol officers to include reviewing Time and Attendance records and court schedules.

Note: This recruitment will be used to fill two (2) vacancies at the West Springfield Police Station.

Illustrative Duties

  • On a rotating shift basis, processes warrants, verifies data for requesting personas and prepares supplements to warrants;
  • Contacts police departments, local and out-of-state, concerning outstanding warrants;
  • Responds to front desk inquires by retrieving case records, etc., in an expeditious manner;
  • Maintains security and safety of station and property or evidence received;
  • Maintains record of runaways, juvenile detention papers, and escape warrants from mental institutions;
  • Responds to telephone callers and walk-in clients at the police station;
  • Responds to Teletype messages from Public Safety Communications Center concerning complaints or incidents;
  • Maintains accounts on station supplies;
  • Makes inspections of station facilities;
  • Distributes incoming correspondence to appropriate personnel;
  • Accesses, queries, and updates various automated information systems to obtain necessary data requested by law enforcement personnel;
  • Composes and completes routine correspondence, special reports and documents, including search warrants and affidavits.


Required Knowledge Skills and Abilities

  • Knowledge of office procedures, General Orders, and Report Writing Manual;
  • Skill in using a personal computer, applicable software, and peripheral equipment;
  • Ability to exercise tact, good judgment, and initiative;
  • Ability to act quickly and decisively during emergencies;
  • Ability to speak and write clearly and concisely;
  • Ability to keep records and write reports;
  • Ability to establish and maintain effective relationships with the public and fellow employees;
  • Ability to type at 45 words per minute (WPM) may be needed for certain assignments;
  • Ability to perform basic mathematical calculations;
  • Ability to work effectively under minimal direct supervision;
  • Ability to maintain a high level of ethical standards;
  • Ability to demonstrate a high level of integrity and to be truthful at all times.


Employment Standards

MINIMUM QUALIFICATIONS:
Any combination of education, experience and training equivalent to graduation from high school or possession of a GED issued by a state department of education; plus two years of experience performing clerical and/or police communications work, including one year of experience equivalent to Police Citizen Aide I.

PREFERRED QUALIFICATIONS:
Familiarity with police department procedures. Experience using computer aided dispatch (CAD) systems and law enforcement records management systems (RMS), such as I/LEADS. Experience in the use of Microsoft Office computer software, especially Word and Outlook.

CERTIFICATES AND LICENSES REQUIRED:
  • Valid driver's license.
  • VCIN -VA Criminal Information Network- Required within 12 months and recertify every 24 months.
NECESSARY SPECIAL REQUIREMENTS:
The appointee to this position will be required to complete a criminal background check, credit check, driver's license check, polygraph exam and public safety background check to the satisfaction of the employer.

PHYSICAL REQUIREMENTS:

Must be capable of sitting for extended periods of time, capable of hearing and seeing sufficiently to interact with the radio, telephone, and cad systems. Must possess the manual dexterity necessary to enter information using a keyboard. All duties may be performed with or without reasonable accommodations.
