Job Summary/Company:

Sparks Group has partnered with a nonprofit focused on enhancing foundational strategies to support racial equity and justice efforts that is looking for an Executive Assistant to support the Founder and a Director. The ideal candidate will possess outstanding organization, attention to detail and analytical skills as well as the ability anticipate problems and create plans to overcome issues.

  • Manage a complex calendar including scheduling meetings
  • Prepare, write, and edit presentations, documents and reports for management
  • Manage social media and other communications activities as needed including occasional updates to a WordPress website
  • Will liaise with fiscal sponsor's Operations Manager to create efficiencies within/between organizations
  • Will bring guidance and implement best/better virtual office management practice (e.g. structure and organization of shared folders and files)
  • Arrange complex domestic travel (post-COVID)
  • Take minutes for both internal and external meetings
  • Assist in the organization of virtual meetings and coordinate logistics as necessary
  • Support event management to include all necessary logistics coordination
  • Handle invoicing and expenses processing
  • General office management duties as needed

  • At least 3-5 years of Executive Assistant experience, preferably supporting senior level management
  • Bachelor's Degree highly preferred
  • Proficiency with the Microsoft Office Suite (specifically PowerPoint)
  • Strong technical literacy, this person must feel comfortable and have the ability to manage all technology processes for the organization to include picking up new software tools quickly and becoming proficient in them
  • Commitment to company values of racial equity, humility, interdependence, bravery and possibility.
  • Previous office management experience a plus
  • Excellent written and verbal communication skills
  • Ability to prioritize and handle multiple assignments at any given time while maintaining commitment to deadlines
  • High level of integrity and discretion
  • Ability to communicate effectively with a variety of constituent groups such as senior management, peers, and outside contacts
  • Outstanding internal and external client service skills
