Duties

Summary

This position is located in the Supplemental Nutrition Assistance Program (SNAP), Administrative Support Unit. The position is responsible for providing administrative support to all SNAP staff and managers. Work includes, but is not limited to organizing and maintaining files, managing mail and correspondence, fielding phone calls from a variety of stakeholders, supporting purchase orders, and serving as timekeepers for the program area.

Responsibilities

  • Prepares correspondence, reports, and other materials in draft and final format. Reviews and corrects prepared documents for conformance with appropriate rules, grammar, format, assembly (includes copies/scanning), and special policies.
  • Provides reports to supervisor on volume, timeliness, and quality of assignments based on information extracted from tracking systems.
  • Makes meeting arrangements (meeting space, hotel rooms etc.), prepares necessary meeting materials (agendas, handouts etc.), takes and circulates meeting notes.
  • Prepares forms, obtains approval, and orders supplies, office equipment, and pays registration fees; delivers supplies to staff; and reconciles all purchases within the required government purchase card timeframe.
  • Receives telephone calls, e-mails, and other correspondence from multiple stakeholders including FNS and USDA staff, government and private organizations, members of the public, retailers, and attorneys.

Qualifications

To qualify for the GS-08 level, your resume must clearly demonstrate that you have one full year of specialized experience comparable in difficulty and responsibility to at least the GS-07 level in the federal service. Examples of qualifying experience include the following types of tasks performed on a regular and recurring basis:

1) Reviewing documents for grammar, format, and clarity of information;
2) Drafting correspondence to multiple stakeholders and fielding telephone calls from multiple stakeholders;
3) Supporting procurement efforts including managing government purchase card transactions; and
4) Using automated systems to produce documents and perform a variety of functions such as time and attendance, action item tracking, travel document preparation, and calendar maintenance.

Applicants must meet all qualifications and eligibility requirements by the closing date of the announcement including time-in-grade restrictions, specialized experience and/or education, as defined below.

Time in grade: Under competitive merit promotion procedures, any individual who is currently holding, or who has held within the previous 52 weeks, a General Schedule position under non-temporary appointment in the competitive or excepted service, must meet "time-in-grade" requirements (have served 52 weeks at the next lower grade of the grade for which you are applying). You must include an SF-50 (you may need to submit more than one) that supports meeting this requirement with your application package. Applicants must have one year of specialized experience at the GS-07 level for consideration at the GS-08 level.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Required Documents

Include initial hire actions, extensions, conversions and separation SF-50s for each period. Submit performance rating(s) showing acceptable performance for each period counted towards eligibility signed by supervisor(s). If documentation does not exist for one or more periods, submit a statement from supervisor(s) indicating acceptable performance. Applicants who do not have performance documentation for any period shall provide a reason why the documentation is not available and statement that performance for all periods was at an acceptable level.
