Under moderate supervision the Payroll Specialist, performs various clerical payroll and accounting tasks such as processing bi-weekly payrolls, entering payroll data into ADP, verifying the accuracy of figures and computations and balancing and reconciling accounts. The Payroll Specialist screens timecards for calculating, coding, or other errors. They compute pay by subtracting allotments, including Federal and State taxes and contributions to retirement, insurance, and savings plans, from gross earnings. In addition, the payroll specialist is responsible for informing managers and other employees about procedural changes in payroll policies.Responsibilities: Compiles and transmits payroll to ADP (such as hours worked, sales or piecework, taxes, insurance, and union dues to be withheld, and employee identification number, from time sheets and other records) and enter data or computes and posts wages, and reconciles errors, to maintain payroll records. Ensures that all employees are paid on time and that their paychecks are accurate. Prepares computer input forms, enters data into computer files, or computes wages and deductions, using calculator, and posts to payroll records. Reviews wages computed and corrects errors to ensure accuracy of payroll. Records changes affecting net wages, such as exemptions, insurance coverage, and loan payments for each employee to update master payroll records. Records data concerning transfer of employees between departments. Prorates expenses to be debited or credited to each department for cost accounting records. Prepares periodic reports of earnings, taxes, and deductions. May keep records of leave pay and nontaxable wages. Prepares and issues paychecks. Other duties as assigned to ensure the smooth operation of the department. Qualifications: Education and Experience: Degree preferred. A minimum of 2-3 year's relevant experience of payroll processing procedures or any equivalent combination of education and job experience that demonstrates the ability to successfully do the job. Necessary Knowledge, Skills and Abilities: Thorough knowledge of clerical accounting and bookkeeping procedures as applied to verifying and positing financial data. Must possess a strong mathematical aptitude. Must be detail oriented and have proven organizational skills. Thorough knowledge of ADP and other basic office equipment such as copiers, fax machines, etc. Excellent data entry skills. Ability to work as a member of a team. Must be computer literate and proficient in the use of Microsoft Word, Excel, and Access. Must be able to interact and communicate with individuals at all levels of the organization. Must be able to demonstrate poise, tactfulness, and diplomacy, and have a high level of interpersonal skills in order to handle sensitive and confidential situations. Licensing and Certification: Business school or certificate from the American Payroll Association in Fundamentals of Payroll (FPC) or Certified Payroll Professional (CPP).
