Summary

The Supervisory Medical Support Assistant (MSA) is responsible for the direct administrative supervision of Medical Support Assistants, and/or Advanced MSAs, and/or Lead MSAs within the Mental Health Clinical Care Department at the VA Maryland Health Care System (VAMHCS).

Responsibilities

Duties of the Supervisory Medical Support Assistant include and are not limited to:
~ Responsible for appropriate data collection concerning the veteran's electronic records thru VISTA, VSE, CPRS, and ICB.
~ Checking Veterans in as indicated, ensures ICB is current, checks Veterans out, schedules for providers, and contacts Veteran as indicated. Incumbent may be asked to provide in-person coverage when an MAS under their supervision is on leave and coverage is needed.
~ Provides technical support and assistance to all section functions. Employee is responsible for reviewing data submitted by subordinates to determine compliance with agency regulations and policies, and making appropriate data corrections prior to submission to management.
~ Liaison with the Medical Administration Service (MAS). Employee will ensure that all MSAs under their supervision are current with trainings required by MAS for their position, and that MSAs are knowledgeable and current with all guidance as provided by MAS.
~ Responsible for assisting with establishing and structuring clinic profiles in LEAF for all authorized users at the Baltimore facility.
~ Responsible for ensuring subordinates are well informed of management goals and directives. Ensures employees are informed of new procedures, instructions and techniques required in the functions of the section.
~ All other duties as assigned and outline in functional statement.

Work Schedule: 8;00am to 4:30pm, Monday - Friday. However, subject to change based on needs of the service.

Occasional travel - You may be expected to travel for this position. Occasional day trips to and from our three different Medical Centers and/or our five Community Out-Based Centers

Qualifications

Basic Requirements:
United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).

Grade Determinations: GS-8 Supervisory Medical Support Assistant
One year of experience equivalent to the GS-7 grade level leading or supervising MSAs or equivalent administrative patient support staff in a non-VA medical inpatient, outpatient, or interdisciplinary setting.

Candidates must demonstrate all of the KSAs below:
- Ability to provide the full range of administrative and supervisory duties [to at least one subordinate MSA supervisor or team leader in a patient support setting which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements.
- Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations.
- Ability to provide briefings, orientations, staff development, and training [in a patient support setting.
- Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs.
- Advanced knowledge of managing or leading patient support staff in a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.

The full performance level of this vacancy is GS-8.

Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending and carrying of light items like papers or books. No special physical demands are required to perform the work.
