Responsibilities

This Program Support Assistant (OA) is located in Washington, DC. The incumbent's primary responsibilities are to provide administrative and technical support for the Division Director and staff.

As a Program Support Assistant (OA), you will:
  • Provide administrative support in various areas described below; also serve as a contact point with Headquarters staff on administrative matters.
  • Input time and attendance data into the WebTA system, and coordinates leave and other timekeeping issues with Division staff; collect monthly timesheets and inputs the data into the Master Case Index (MCI) OIG management information system.
  • Perform receptionist duties; receive and make phone calls; receive mail and correspondence; and process outgoing mail and correspondence. Keep division management informed of significant information that is received and distributes incoming materials to the staff.
  • Prepare correspondence for the signature of the Division Director and other staff, including memoranda and letters to Office of Inspector General, Veterans Affairs, and non-Veterans Affairs officials.
  • Assist the Division Director with preparation and implementation of the operating budget including controls over expenditures for travel, training, supplies, and awards. Collects financial data, tracks expenditures, and informs the Director of the status of funds.

Qualifications

You must meet the following requirements within 30 days of the closing date of this announcement.

You must be able to type at least 40 words per minute.

Specialized experience: For the GS 8; specialized experience is one year of experience at the GS-7 level or equivalent in public or private sectors, that is directly related to the position and which has equipped the candidate with the particular knowledge, skills, and abilities to perform successfully the duties of the position and that is typically in or related to the work of the position to be filled. Examples of such experience could include:
  • Maintaining an electronic calendar for management; OR
  • Responding to requests for information; OR
  • Maintaining payroll / time cards or travel / training records; OR
  • Coordinating office procurement actions and/or ensuring availability of funds for office procurement actions; OR
  • Managing electronic filing systems and/or coordinating the retention of office records.

In addition to the above requirements, you must meet the following time-in-grade requirement, if applicable:
For the GS-08, you must have been at the GS-07 level for 52 weeks.

Time After Competitive Appointment: Candidates who are current Federal employees serving on a nontemporary competitive appointment must have served at least three months in that appointment.

CONDITIONS OF EMPLOYMENT:
- A one year probationary period may be required.
- Must successfully complete a background investigation.
