Summary

The position is located in the Department of Veteran Affairs (VA), Veterans Health Administration (VHA), Mid-Atlantic Health Care Network (VISN 6), VA Medical Center, Social Work Service, Hampton, Virginia. The Caregiver Support Program (CSP) Program Support Assistant functions as a program and administrative assistant, program planning and development, maintains communications with Human Resources, Acquisition and Material Management, IRMS, Fiscal, Quality Management and Patient Care.

Responsibilities

Performs work involving the collection, compilation, and/or tracking of data and statistical information in support of Caregiver Support Program operations.

Coordinates and implement a comprehensive outreach initiative designed to facilitate the delivery of services to caregivers and their Veterans at their respective locations.

Reviews documents, reports, and/or applications for omissions and inconsistencies, and ensures data entry is complete and accurate.

Organizes and maintains patient data; maintains automated system of program-specific data to track suspense's on items such as project milestones, progress reports, funding accomplishments, compliance strategies, etc.

Assists in the planning, review, reporting, and presentation of data/statistical results of program.

Selects appropriate software types (excel spreadsheets, database, word processing, etc.) to draw information from a wide variety of sources in order to prepare reports.

Processes incoming and outgoing documents such as correspondence, reports, memoranda, and other forms of written communication.

Performs the following types of duties: edits letters, composes letters and reports, reviews correspondence for accuracy and completeness, and develops standard of form letters and replies to inquiries.

Provides guidance on the appeals process and advises on whether or not the Veteran and caregiver followed the proper steps at their local facility.

Collaborates with the CSP PSAs across the VISN assist with providing education and consultation to community partners and stakeholders, such as Veteran Service Organizations, faith-based organizations, United Way, fraternal organizations, and other nonprofits, to enhance and improve referrals and resources for caregivers and their Veterans at their local facility.

Monitors and reviews tracking information for caregivers and Veterans who utilize community and VA referrals and resources at each facility via database developed, the Caregiver Record Management Application (CARMA} IT system, and/or CPRS.

Locates, organizes, develops and reports on all data for performance measures and reports this data to the care team weekly, and to the Caregiver Support Coordinators in completing required administrative tasks such as quarterly reports which are presented to Leadership or the VISN offices.

Assists in the planning, review, and reporting of data/statistical results of program/project studies: performs basic analysis of the data and generates a variety of reports.

Coordinates incoming data from a variety of sources, reviews documents and reports for omissions and inconsistencies, and ensures data entry is complete and accurate.

Enters pertinent data into an automated tracking system and maintains program-specific data in automated systems to track suspense on items such as project milestones, progress reports, accomplishments, compliance strategies, etc.

Tracks forms and creates a database to ensure the timeliness of time sensitive materials.

Accepts telephone calls from Caregiver Support staff in the field, other VA staff, and/or community agency staff, regarding program inquiries, program concerns.

Produces a wide range of documents using a variety of office automation technologies.

Applies advanced work processing software to materials involving complex formats such as automatic generation of indices and tables of contents, importation of graphics, charts, or special symbols or precise alignment of multiple columns.

Coordinate conferences and meetings, including arranging logistics, preparing agendas, and notifying participants.

Track and report monthly and annual CSP funding for assigned program fund control points. with the assigned caregiver support coordinator.

Performs other related duties as assigned

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience as described below:
  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Track data for expenditures and referrals, Bene-Travel cost, report monthly program fund control points, prepare yearly funding requests, collects, analyze, reviews documents, drafts proposals and plans of actions, experience with different software, database management, word processing, administrative forms, manages main telephone line, screens and refers phone calls, prepares, receives, distributes and logs correspondence both internal and external, handles complaints etc.

Physical Requirements: The work is primarily sedentary and is performed by sitting, standing, bending, and stooping. The employee is required to obtain records from files, and carry files, manuals, and other light objects. Occasional travel is required to provide support at conferences, workgroups, programs or meetings.
