Overview: Reporting to the Director, HR, the HR Generalist will be responsible for providing a range of HR services to an employee base of 40-50 employees in ICRW HQ. HR Generalist will also provide assistance to ICRW Asia HR team as well as ICRW Africa team when needed. Areas of responsibility includes recruitment and staffing, performance management, benefits program management and administration, payroll administration, HRIS and data management, HR compliance and compliance reporting, and policies and procedures assistance. The HR Generalist may also be responsible for assisting in the implementation of other HR initiatives. Principal Responsibilities and Tasks: Recruitment and Staffing : Performs full life-cycle recruitment for regular positions in the organization, as well as for some temps, interns and consultancies: Posts and advertises open positions. Screens resumes for position vacancies; conducts initial phone screening of candidates and on-site interviews. Schedules and coordinates interviews with hiring department members. Arranges travel and lodging for applicants, if necessary. Conducts reference checks. Prepares salary offer recommendations; offers jobs; negotiates salaries with the candidates. Coordinates and sends welcome announcements (bios). Processes new hire paperwork. Manages the Applicant Tracking/Recruitment System and maintains recruiting records as required. Coordinates, schedules and conducts new employee orientations to ensure employees are indoctrinated into the organization, with a full understanding of the culture, HR policy and procedures related to the ICRW mission, etc. Performance Management and Administration: Manages the current performance management system and administering it. Tracks status of staff and provides reminders to remain on task with timeline. Reviews performance evaluations and provides feedback to managers. Provides training on the performance management system and process. Benefits Program Management and Administration: Coordinates the annual open enrollment process. Ensures renewals of employee enrollments. Communicates new or revised changes to benefits plans to staff and keeps staff abreast of benefits' options, features, etc. Handles on an ongoing basis, any new or revised benefits programs (eg, health, life, disability, etc.) which includes updating the Employee Self-Service System (Employee Navigator). Administers existing benefits programs; keeps abreast of any new compliance requirements at the federal and/or local level. Conducts periodic market analysis to ensure competitive nature of ICRW's benefits program. Prepares fringe benefits cost calculations. Compensation Program Management and Administration: Participates in various compensation surveys and conduct compensation benchmarking. Updates and disseminates employee compensation records as needed. Manages the processing of annual merit increases. Compliance and Reporting: Prepares annual 5500 and EEO-1 reports. Works with the Finance Team on 990 submission. Participates in and assists with annual Financial audit (HR records only). Stays abreast of HR and benefits compliance updates and ensures they are adhered to. Ensures labor posters are up to date. Managing the creation and ongoing maintenance of all employee (active and terminated) personnel files, ensuring the file contents are in compliance with the federal and state employment laws. Conducts I9 audit annually and utilizes E-Verify. Payroll Preparation/Administration: Works with Payroll Accountant to process bi-weekly payroll and process out-of-cycle payments. Generates reports in HRIS (Ceridian). HRIS and Data Management: Deliver people metrics to inform business decisions as requested. Maintains org chart and position description database on all current ICRW positions. Ensures the integrity of the data in the various HRIS. Employee Relations and Communications: Contributes towards activities related to morale and well-being, including, but not limited to birthday and anniversary announcements, wellness events, and staff appreciation events. Prepares exit paperwork, conducts exit interviews and tracks data. Policy and Procedure Administration: Assists the Director, HR with the development of policies as needed; coordinates revisions, reproduction and distribution of personnel manuals, employee handbooks, etc. Performs other responsibilities as directed. Experience: Minimum five (5) years (with a bachelor's degree) or three (3) years (with a master's degree) of HR experience in a generalist capacity. Demonstrated knowledge of: Recruitment and staffing processes, including employment immigration practices as it relates to H1B visas, permanent residency sponsorship and hiring foreign nationals, Performance management, Health and welfare benefits and retirement plans, Compensation benchmarking, HR compliance (including EEO, AAP, etc.), HRIS/data management. Skills: Strong professional ethics and highest sensitivity in dealing with and handling of confidential information required. Strong attention to detail and exceptional organizational skills required. Ability to work on multiple tasks simultaneously is essential. Ability to function with minimum supervision and work autonomously. Ability to communicate in a cross-cultural environment with sensitivity to diversity. Strong verbal, written communications and presentation skills required to interface with all staff and management. Computer literacy required to include a proficiency in standard business applications (eg in the MS Office Suite, especially Excel and PowerPoint), as well as the ability to utilize technology to automate processes, provide meaningful analyses and disseminate information.
