Summary
The File Clerk (Scanning) position will be an employee of the VA Maryland Health Care System (VAMHCS). The File Clerk (Scanning) position functions as an administrative member as part of the Care in The Community (CITC), under the direct supervision of the Supervisory Medical Support Assistant, under Care in The Community Service Line Chief, under the Director of Health Care and Business Operations (HCBO), in the Medical Director Service office.

Responsibilities
Performs duties related to the receipt, intake, scanning, indexing, quality control, destruction, and transfer of health and administrative information in relation to community medical documentation used for continuity of care.
- Processes requests for Care in The Community information presented in by mail, fax, telephone, or E-mail.
Interfaces with personal computer (PC) applications as well as numerous VISTA, CPRS, FBCS, and other Care in The Community-related applications.
- Responsible for reviewing medical records for other indirect patient care activities, i.e. consult closure, quality management of scans, validation of scan to record accuracy, etc.
- Performs quality checks of scans to ensure legibility, completeness of record, prevention of erroneous scanning to incorrect files, etc. Tracking of potential violations and remedial training for violations.
- Responsible for troubleshooting equipment, ordering supplies as needed through the Care in The Community Services Chief and performing daily routine tasks related to equipment maintenance.
- All other related duties as assigned.
Work Schedule: 8;00am to 4:30pm, Monday - Friday. However, subject to change based on needs of the service.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/25/2021.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-04 position you must have served 52 weeks at the GS-03. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

Physical Requirements: The work is mostly sedentary; however, some bending, stretching, walking, and lifting is required.
Work Environment: Work is performed in an office setting in the File Room within this Medical Center. Incumbent is required to walk to various hospital locations in order to retrieve medical records.

- Experience: One (1) year of general experience equivalent to at least the next lower grade level (GS-03) in the normal line of progression for the occupation in the organization. General experience is defined as progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled. NOTE: Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position, dates of employment and the number of hours a week spent in each position. OR,
- Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have completed 2 full years of higher-level education beyond high school. This education must have been obtained in an accredited college or university and must demonstrate the knowledge, skills, and abilities necessary to do the work. One year of full-time education is considered to be the number of credit hours that the school attended has determined to represent 1 year of full-time study. If that information cannot be obtained from the school, one year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. Part-time education is creditable in accordance with its relationship to a year of full-time study at the school attended.
