Occupational Health Support Technician Marketing Statement:

The Washington Metropolitan Area Transit Authority (WMATA) Occupational Health and Wellness (OHAW) Department is seeking an experienced Occupational Health Support Technician who will be responsible for providing comprehensive administrative support to OHAW's Clinical area. Responsibilities include answering the telephone in a polite and professional manner, ensuring smooth patient flow at the front desk, efficiently registering patients, reviewing and updating patient charts in a timely manner, ensuring patients have a positive customer service experience and assisting the clinical staff as needed. The ideal candidate will be proactive, have excellent interpersonal skills, work independently, be customer focused, responsive, and will possesses the and be able to exercise discretion and composure in a complex occupational health setting. This role is critical to OHAW daily operations and requires a dependable and highly organized individual who communicates effectively, is an adept problem-solver, and skilled multitasker. Previous medical office experience is preferred along with the knowledge of HIPAA and OSHA laws.

Minimum Qualifications:

Graduation from an accredited college or university with an Associate's degree in the medical field with course work in health information technology, medical terminology, health data requirements and standards, and quality improvement methods. A minimum of one (1) year of experience which successfully demonstrates the ability to provide administrative, clerical and medical support services in a medical setting. Must be eligible for and obtain the RHIT credential within two years of employment.

Or, an equivalent combination of accredited post high school education and three (3) years of experience in record retrieval and storage which successfully demonstrates the ability to provide administrative, clerical and medical support services.

Medical Group:

Ability to satisfactorily complete the medical examination for this position. Must be able to perform the essential functions of this job either with or without reasonable accommodation(s).

Job Summary/Duties:

This is administrative, clerical and confidential personnel medical work in support of the Medical Services Branch (MSBR). Incumbent in this class is responsible for the maintenance and control of the MSBR files of current, former, and retired employees, including confidential files related to grievances, arbitrations, and legal proceedings. Incumbent maintains records by preserving, moving, organizing, re-labeling, retrieving, re-filing and storing. Keeps an accurate inventory pertaining to storage, life cycle, retention, classification, identification, destruction dates and shredding of records. The incumbent has limited latitude for independent judgment and actions within established WMATA and HIPAA guidelines.

Maintains confidentiality of all medical charts and files, and information specific to sensitive medical, health, work performance and disciplinary issues for management and contract employees.

Prepares and maintains medical charts and files of former, current, and retired employees of the Authority and transitions old files to electronic media. Reviews, organizes, and places confidential materials in the appropriate sections of the medical charts.

Provides copies of charts and files of a confidential nature as requested and in response to grievances, arbitrations, legal proceedings, employee requests, etc.

Updates and maintains charts/files on medical test results via Assistant and other electronic media. Maintains and updates applicant files when they become WMATA employees through case management. Generates reports and data summaries as needed.

Organizes and prepares documents for archiving and scanning; performs scanning functions. Operates a variety of electronic data inputting, imaging and scanning equipment. Identifies problems with equipment and reports them to the proper authority and performs inventory of WMATA's property assets.

Arranges for the disposal files and records according to clearly established records disposal instructions and schedules. Ensures that approved transfer and disposal guidelines are followed.

Performs periodic reports/memoranda involving transfers, inactive and and/or retirements lists for distribution.

Prepares worksheets and computes eligibility for payment of sick leave in accordance to the appropriate provisions of the applicable bargaining agreements.

Facilitates the automation of sick leave through medical's e-clinical documentation as well as PeopleSoft within a timely manner. Makes the final determination regarding payment of sick leave in problematic cases.
