Maintenance Call Center Coordinator Under the direction of the Contracting Services Manager, the Maintenance Call Center Coordinator is primarily charged with providing timely service and detailed attention to maintenance requests related to managed properties in Long & Foster's property management business. Maintenance requests that transition to work orders when a property owner authorizes maintenance, repair or renovation work to be scheduled and completed. The Maintenance Call Center Coordinator manages the entire process from authorization to scheduling and completion of the work orders. A high level of customer engagement, advanced communication skills and the ability to deliver excellent customer service is a requirement as well as prioritizing tasks and responsibilities with heavy telephone work (with a headset) to document and communicate all maintenance services related issues with landlords, tenants, vendors and property management staff. Additional responsibilities include following up and finalizing work orders, invoicing, work validation, payment and closing out of all work orders through AppFolio. ESSENTIAL DUTIES AND RESPONSIBILITIES The Maintenance Call Center Coordinator needs to demonstrate the following: Prioritize and monitor all work order requests received and communicate with landlords, tenants, vendors and property management staff. Proactively organize and assign work orders to the appropriate vendor Daily reporting of work order status updates Confirm completion of the work order by documenting evidence of completion Responsible for auditing the owner/tenant account balance for appropriate funding Research and resolve work order related discrepancies in a timely manner Build and establish current and future vendor relationships Extensive use of telephone, computer systems and other general office equipment QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. High school diploma, some college or equivalent experience Two to three years of relevant or related experience in the home maintenance, home services, general contracting or property maintenance Knowledge of contracting, property maintenance, handyman or specific trades terminology preferred Proficient computer skills in Microsoft Office, including Outlook, Excel, Word, and PowerPoint Ability to multi-task and possess time management skills are a must Excellent interpersonal, customer service, written and verbal communication skills Flexible to work weekends as needed or necessary Maintain regular and punctual attendance
