Responsibilities

The position is located in the Smithsonian National Museum of African American History and Culture, Office of External Affairs. This position is to fulfill the role of confidential assistant/liaison to the Associate Director for External Affairs by supporting the operational functions of the office. Duties and responsibilities include:
  • providing advice in the review, evaluation and coordination of all activities and assignments requiring the attention of the Associate Director;
  • ensuring the smooth and continuing communications and liaison with a range of colleagues within and outside the Smithsonian;
  • serving as liaison between the Associate Director, the Director and departments within NMAAHC, the Smithsonian Institution;
  • ensuring the budget and financial materials are responded to in a timely basis for the Associate Director and her direct reports including the Office of Communications, Social Media, Education, Special Events, Public Programs and Advancement;
  • assisting with coordination of special and on-going projects with outside organizations;
  • arranging a variety of conferences and meetings by keeping the calendar and establishing priorities; and
  • composing and reviewing correspondence.

Qualifications

Experience: You qualify for this position if you have one year of specialized experience equivalent to at least the GS-X level in the Federal Service or comparable pay band system. For this position specialized experience is defined as serving as assistant and advisor managing operational logistics for an organization or an executive; responding to inquiries in writing and orally; maintaining calendar of meetings/events; making travel arrangements and processing travel documents; establishing suspense system to log and track correspondence, reports, meetings, etc. and reviewing correspondence to ensure grammatical correctness.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Part-time and/or unpaid experience related to this position will be considered to determine the total number of years and months of experience. Be sure to note the number of paid or unpaid hours worked each week.

Or Education : Three full years of progressively higher level graduate education leading to a Ph.D. or equivalent doctoral degree related to this position may be substituted to meet the experience requirements.

Or a Combination : Education and experience, in part, totaling 100% may be combined to meet the basic qualifications.
