Responsibilities

Performs a combination of routine and multiple and varying assignments under the general direction of a manager, project/program manager, team leader, or more experienced professional. Acts as an individual contributor and/or member of a team for projects/programs within a defined area of responsibility.

Applies experience and detailed knowledge applicable to AIT programs to plan and accomplish assignments. Typical assignments may include: collecting and analyzing data/information; conducting research; applying policies and procedures; identifying problems; and working with higher level and lower level professionals in day-to-day operations. Represents customer's interest within the AIT Front Office. Addresses customer concerns, issues and inquiries and resolving issues before they become critical to the business unit without intervention of management. Forms and maintains collaborative relationships across all of AIT.

Monitors and tracks programmatic and management actions and reports for completeness and responsiveness to guidance, to ensure that commitments and milestones are met, and delinquencies are brought to the attention of the manager.

Serves as a Front Office point of administrative contact and liaison with other AIT offices, individuals, and programmatic matters concerning the Office of the Information & Technology Services. Receives visitors and answers telephone calls.

Assists with the coordination of office initiatives, special projects, and daily activities.

Schedules monthly staff meetings, prepares agendas and meeting materials, and records notes taken from the meetings. Assists in preparing the CIO/DCIO/CoS for attendance at meetings and conferences by preparing fact sheets, status reports, and briefing books.

Employs an extensive use of office automation software, spreadsheets, and databases to track and manage data.

Assists with maintaining electronic calendars for the Chief Information Officer and Deputy Chief Information Officer, including setting up meetings, and scheduling/rescheduling appointments.

Tracks and monitors the status of memorandum and correspondence within AIT. Reviews all outgoing documents for proper format, consistency, grammatical accuracy, etc, and makes necessary corrections or returns to the originator for changes. Reviews and tracks priority correspondence and documents preparing them for signature.

Collects all incoming mail, and documents from sources outside AIT. Reviews for content in order to assign appropriate action/distribution within AIT. Composes responses to general correspondence or inquiries addressed to the AIT Front Office by performing extensive administrative research and coordination with affected program offices to develop such responses and prepares the document for AIT Executive signature, when appropriate.

Responds to inquiries from both in and out of AIT concerning the status, location, subject matter, deadlines, and effective and efficient processing procedures of documents and taskers.

Primary point of contact for ordering all supplies, managing the filing system, and circulating memorandum, policies and notices by email.

Arranges attendance, makes travel arrangements, and submits travel expense forms for the CIO and Deputy CIO.

As a Freedom of Information Act/Privacy Act Assistant, incumbent will perform the following duties: assist with processing Freedom of Information Act/Privacy Act requests; review and analyze FOIA/PA requests exercising discretion and judgment in the application of laws, regulations, and organizational practices; liaisons with offices within the organization to provide advice and guidance on FOIA/PA matters to facilitate responses to requesters; maintain complete and accurate records, and provide status reports and utilize various office automation software and hardware.

To qualify for this position you must demonstrate in your application that you possess at least one year of specialized experience equivalent to FV-F / FG/GS-5-9. Specialized experience is experience that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the position.

Specialized experience may include but is not limited to: Experience working professionally, independently and/or as part of a team using office automation software, spreadsheets, and databases to track and manage work flowing in and out of the office. Experience working in a high tempo, customer service oriented office focused on attention to detail to include the ability to multi task and provide constructive feedback to issues,

OR

3 years of progressively higher level graduate education leading to a Ph.D. degree or Ph.D. or equivalent doctoral degree. Education must be directly related to the position.
