Serves as an integral part of the Administrative Services team supporting the Fairfax County Department of Transportation (FCDOT), primarily providing procurement and accounts payable support and related customer service for Fairfax Connector.
Responsibilities include:
  • Providing procurement guidance to FCDOT Transit Services Division staff to ensure goods and services are procured efficiently and comply with all applicable local, state, and federal regulations;
  • Processing requests to encumber funds and process payments, ensuring that all transactions are posted to correct fund accounts and comply with all applicable local, state, and federal regulations;
  • Resolving issues with vendors, including those related to contract terms and payments;
  • Reviewing fund accounts to determine accuracy of posted transactions, reconciling accounts, and processing journal entries, as needed;
  • Preparing year-end accruals and deferrals, as necessary;
  • Preparing reimbursements related to Fairfax County Commuter Services grants;
  • Collecting and analyzing data, summarizing findings, and preparing financial reports;
  • Collaborating with other FCDOT Administrative Services, Coordination and Funding, and Transit Services staff to ensure efficient and effective operations;
  • Collaborating with the department's senior administrative staff and others, as required, to streamline business processes to improve efficiency and ensure strong internal controls;
  • Developing policies and procedures; and
  • Providing related training and customer service.
The position is expected to successfully resolve problems in a team-based environment, balance multiple priorities and tasks to meet established deadlines, and perform duties under limited supervision.

Note: The functional areas for this position are governmental accounting, finance, and procurement.

Employment Standards

MINIMUM QUALIFICATIONS:
Any combination of education, experience and training equivalent to an associate degree and five years of experience providing administrative support in the assigned functional area(s).

CERTIFICATES AND LICENSES REQUIRED:
Valid driver's license.

NECESSARY SPECIAL REQUIREMENTS:
The appointee to this position will be required to complete a criminal background check, a credit check, and a driver's license check to the satisfaction of the employer.

PREFERRED QUALIFICATIONS:
Undergraduate degree in accounting, finance, procurement, or related field. Strong analytical, organizational, time management, and communication skills. Ability to establish and maintain effective working relationships. Excellent customer service skills. Knowledge of local, state, and federal regulations related to procurement, contracts, and grants. Prior experience in public procurement, accounts payable, accounting and/or financial management. Considerable experience using Microsoft Office Suite computer software, particularly Excel and FOCUS.

PHYSICAL REQUIREMENTS:
Work is generally sedentary. However, employee may be required to do some walking, standing, bending, and carrying of items under 25 pounds in weight. All duties performed with or without reasonable accommodations.
