Sid and Reva Dewberry Department of Civil, Environmental and Infrastructure Engineering (CEIE) Fiscal and Administrative Specialist

The George Mason University Sid and Reva Dewberry Department of Civil, Environmental and Infrastructure Engineering, within the Volgenau School of Engineering, seeks a proactive, organized, and self-reliant Fiscal and Administrative Specialist to provide both administrative and fiscal support for the Department Chair, faculty, and student body. Responsibilities: Under the direction of the Department Chair, this position is responsible for the daily coordination and execution of administrative, fiscal, and program support operations to ensure the service needs for both faculty and students are met. Key responsibilities include, but are not limited to: * In coordination with the Chair, manage the department budget and financial resources; to include monitoring the budget, reconciling department accounts, and resolving related budget issues; * Oversee hiring process for all Graduate Teaching Assistants, Adjunct faculty, and Wage employees for CEIE department; to include entering personnel assignments in Banner and maintain hiring spreadsheets; * Issue swipe and key access requests, manage seating assignments, manage space and office needs for incoming faculty and graduate teaching students; * Maintain student and faculty files and records consisting of official and confidential information; * Train new CEIE employees; educate them on State, Mason and Department regulations and guidelines; * Initiate faculty travel authorizations and reimbursements to ensure forms are routed and approved in accordance with university policies; * Work with other university administrative offices to schedule courses, room assignments, and publication of course schedules with coordination of Associate Chair; * Assist CEIE Administrative Specialist with department events, updating the department website and all social media accounts; * Provide administrative support to Chair, Associate Chair, and Department; * Ensure compliance with state and GMU regulations and procedures on the above tasks. Required Qualifications: * Experience with financial processes to include purchase requisitions, travel reimbursements, and account reconciliation; * Proficiency with Microsoft Office Suite software, including word processing, spreadsheets, and e-mail applications; * Willingness to learn new electronic systems for admissions, scheduling, workflow, accounting, travel, room booking, etc.; * Must effectively handle multiple responsibilities simultaneously and meet deadlines, often under pressure, while maintaining flexibility regarding changes in priorities; * Ability to receive, follow, and adhere to instructions; * Openness to constructive feedback; * Exceptional verbal and written communication skills and strong organizational abilities; ability to interpret and apply policies, procedures and guidelines; * Strong customer service skills, diplomacy skills, and the ability to work with a wide range of constituencies in a diverse community; * Ability to analyze and solve problems, effectively prioritize tasks, take initiative, and work independently. Preferred Qualifications: * Completion of Bachelor's degree; * Experience with budget analysis; * Human Resources/hiring experience; * Knowledge of university procedures, policies, regulations, and systems; * Knowledge of website editing software/platforms; * Knowledge of Twitter, Facebook, and LinkedIn in a business setting; * Knowledge of general program assessment; * Demonstrated experience in a customer service position and demonstrated office experience preferred. About the Department: CEIE is a vibrant and fast-growing Department that offers MS and PhD programs, in addition to an ABET-accredited BS degree. During the last 5 years, the department has experienced tremendous growth in new research awards, and in enrollment in the PhD program. Total enrollment across all degrees in CEIE has increased to 400 students. The Volgenau School of Engineering is committed to significant investment in expansion of the department faculty and to double the current size within 5-10 years with a focus on research excellence.
