Responsibilities

As a ADMINISTRATIVE SUPPORT SPECIALIST, you will:
  • Ensure the efficient administrative functioning of the assigned office through the accomplishment of tasks such as document preparation and filing, scheduling appointments, procuring supplies, travel preparation, and other administrative duties as required. Duties include:
  • Participate in systematic reviews of and implement the development, operations, and ongoing improvement of the Office's administrative services; including performance measurement, reporting systems, internal controls, and operating procedures, to ensure continuous improvement in efficiency and cost effectiveness of the Office's administrative services.
  • Serve as the office point of contact for the receipt, assignment, and tracking of correspondence received into the office. Review completed responses for the signature of the appropriate individual, ensuring appropriate formats and proper packaging, correct enclosures or attachments ensuring that they are clear and grammatically correct. Facilitates quick turnaround time on necessary revisions.
  • Perform a variety of urgent confidential special assignments to aid the senior staff in considering, expediting and acting on matters that pertain to the policies, procedures and programs of the office.
  • Participate in meetings and conferences and provides information, guidance and advice on matters having an effect on present and future programs that may result in the formulation of new or revised administrative and management support policy.

Qualifications

You must meet the following requirements by the closing date of this announcement.

Specialized experience for the GS-13: You must have one year of specialized experience at a level of difficulty and responsibility equivalent to the GS-12 grade level in the Federal service. Specialized experience for this position includes:
- Speaking and making decisions for office officials in assigned areas, answering questions and making commitments on the officials' behalf; AND
- Resolving competing demands for the office officials time in schedules, meetings, interviews, conferences, speeches, etc.; AND
- Processing travel orders and claims, timekeeping, training requests, mail filing, meeting arrangements, and weekly reports.
