Responsibilities

As a Staff Assistant, you will:
  • Manage and monitor the administrative budget for the DAS including travel, supplies, contractual services and printing. This includes, but is not limited to, consolidating the annual travel budget and tracking the travel needs and usage throughout the year using data in the Departmental automated system; tracking the administrative budget against the annual allocation for printing, supplies and contractual services; requisitioning office supplies, furniture, equipment, publications and maintenance and printing services; and preparing the annual budget for the DAS.
  • Assist staff with computer software applications including spreadsheet development, graphic presentations, word processing and database applications. Also assists with use of ADP equipment such as video conferencing and electrohome projectors.
  • Receives telephone calls and visitors, ascertains the nature of the call or the purpose of the visit and refers to the DAS, other ONAP staff, or other offices as appropriate. Provides general information regarding the overall activities of the Office and information available from office files or records.
  • Schedules appointments, meetings and conferences for the DAS. Makes arrangements for time, participants and location of meetings in accordance with instructions. Coordinates the preparation and distribution of necessary background material for agenda items and informs participants of topics to be discussed.

The experience may have been gained in either the public, private sector or volunteer service . One year of experience refers to full-time work; part-time work is considered on a prorated basis. This position is located in the Office of Public and Indian Housing (PIH), Office of Native American Programs. PIH's mission is to provide low-income families affordable housing opportunities as they transition to self-sufficiency and homeownership. PIH oversees the administration of HUD's Public Housing, Housing Choice Voucher, Section 8 Rental Assistance, and Native American Programs through a staff of Headquarters and Field employees. The field structure for PIH consists of 29 Hub Offices and 16 Program Centers that provide oversight, direct monitoring, and coordination for approximately 4,200 public housing authorities.

The official duty station for this position will be in Washington, DC. Failure to report to duty at this location may be grounds for a disciplinary action, including removal.

Qualifications

You must meet the following requirements within 30 days of the closing date of this announcement.

Specialized experience: For the GS-09, you must have one year of specialized experience at a level of difficulty and responsibility equivalent to the GS-08 grade level in the Federal service. Specialized experience for this position includes:

Managing daily office tasks such as: taking calls, corresponding via email and fax, setting up meetings, managing staff calendars, preparing reports and making travel arrangements.

Examples of this could include:
- Assisting with program reviews, preparation of program budget and training needs as well as assisting with special assignment plan of actions; OR
- Managing and scheduling meetings on multiple calendars; OR
- Maintain and store office correspondence in Share-point ( or similar sharing databases) folders for each division; OR
- Assist with making travel reservations to include authorizations and vouchers.

Time-in-Grade:
In addition to the above requirements, you must meet the following time-in-grade requirement, if applicable:
For the GS-09, you must have been at the GS-08 level for 52 weeks.

Time After Competitive Appointment:
Candidates who are current Federal employees serving on a non-temporary competitive appointment must have served at least three months in that appointment.

CONDITIONS OF EMPLOYMENT:
