Duties

Summary

As a Support Services Specialist, you will be responsible for performing administrative service support functions relating to mail, duplicating, Agency transportation, and supply operations. Assists with the Agency's physical security/emergency preparedness program. Also assists with administering the credit card program and supports administrative operations projects as assigned. The position is located in the Operations Division, Office of Agency Services in McLean, VA.

Responsibilities

Mail Room and Support Services OperationsAssists with the Agency's mailroom, supply, duplication, and transportation service operations:
  • Serves as the back-up contracting officer representative (COR) for the mailroom staff support contract. Serves as the back-up contracting/purchasing agent for other service contracts such as GPO Express program, taxi/limousines services, package delivery services, supplies, and courier services. Assist with packages, labels and ships items by U.S Postal Service and commercial source, including express and air express. Serves as the back-up for reviewing and paying contractor's invoices.
Physical Security/Emergency Preparedness
  • Assists with management of the Agency's physical security/emergency preparedness program, ensures it is effectively administered and that Agency directives and policies comply with applicable Federal laws and regulations. Serves as the Agency's primary point of contact for all physical security and emergency issues. Meets with floor monitors periodically to discuss emergency preparedness programs process/procedures and provide training as needed. Conducts quarterly emergency drills and prepares reports after the drills.
Credit Card Program
  • Assists with resolving purchase and travel card issues. Creates management reports from Citibank's online system. Provides monthly status reports on the credit card program. Maintains an accurate role of cardholders, processes new employee's applications and close credit card accounts for employees leaving the Agency.
Administrative Team Support
  • Provides administrative support in other Operation Division areas. Performs reviews on various Operations Division program and processes to provide recommendations for improvements. Collects, assembles, and compiles data for recurring, special, and ad-hoc reports.

Qualifications

You may qualify at the VH-35 (GS-09) band level if you fulfill one of the following qualification requirements:One year of specialized experience equivalent to the VH-34 (GS-07) band level in the Federal service that demonstrates your ability to meet at least two parts of the following:
  • Knowledge of and skill in overseeing aspects of a government or company facility such as coordinating sorting, distributing mail, procuring services, preparing document and reports.
  • Knowledge of and skill in a physical security/emergency preparedness program of a government or company facility.
  • Knowledge of requirements to secure contracts or procurement services.
  • Ability to conduct physical inventories and/or expedite delivery of materials.
OR

A master's or equivalent graduate degree in an accredited or pre-accredited college or university; or 2 full years of progressively higher level graduate education leading to such a degree; or possession of a LL.B. or J.D degree, if related. Graduate level education must demonstrate the competencies necessary to do the work of the position, examples of qualifying fields include public administration, business administration, industrial engineering, industrial management, or other administrative or management fields related to the position to be filled. You will receive credit for all qualifying experience, including volunteer experience.

Graduate Education: One academic year of graduate education is considered to be the number of credits hours your graduate school has determined to represent one academic year of full-time study. Such study may have been performed on a full-time or part-time basis. If you cannot obtain your graduate school's definition of one year of graduate study, 18 semester hours (or 27 quarter hours) should be considered as satisfying the requirement for one year of full-time graduate study.

Foreign Education : If you are using education completed in foreign colleges or universities to meet the qualification requirements, you must show the education credentials have been evaluated by a private organization that specializes in interpretation of foreign education programs and such education has been deemed equivalent to that gained in an accredited U.S. education program; or full credit has been given for the courses at a U.S. accredited college or university.
