NRPA is currently seeking a Development Coordinator to join our Development team which is a part of our Programs and Partnerships department.

The Development Coordinator supports achievement of the Corporate team’s revenue goals by coordinating and supporting conference, advertising, and sponsorship-related production and communications processes and deliverables. The Coordinator collaborates with the Marketing, Conference, Facilities, and Finance teams to ensure deadlines and schedules are met and deliverables completed. The Coordinator interfaces with corporate partners to ensure superior service and relationship cultivation, solicitation, and stewardship.

Specific Responsibilities Include:

General

  • Work with internal teams to meet advertising, exhibitor, and sponsorship deadlines and deliverables, deliver superior service to partners, and help meet the revenue and related goals of the Corporate team. 
  • Create, maintain, generate, and distribute metrics reports as requested, including revenue reports and exhibitor memberships and Elite upgrade reports.
  • Respond to incoming leads and inquiries for advertising, exhibit, or sponsorship, providing general information, e/mailing informational packets, and/or referring prospects to the appropriate development officer.
  • Identify and research of prospective partners through online and subscription service research, and cold calling and emailing.
  • Assist with the creation of presentation decks to help pitch prospective sponsors, exhibitors, and advertisers.
  • Enter and/or migrate relevant partner data, information, and communications in appropriate databases (Salesforce, A2Z, iMIS, etc.) and electronic records (shared drive).

Advertising

  • Coordinate with Marketing to schedule advertising materials for digital and print products.
  • Send creative reminder emails to advertising partners.
  • Collect and file advertisements and insertion orders (IOs).
  • Create and maintain invoicing of advertising clients.
  • Perform data entry and management to assist with meeting deadlines, deliverables, communications, invoicing, and relationship management.
  • Review ads in issue lists and full PDFs for accuracy.
  • Coordinate with advertisers and magazine staff on production of special sections and guides and with partners in the production of NRPA’s print Field Guide.

Exhibits

  • Update exhibit contracts, templates, and billing deadlines in exhibitor software.
  • Manage exhibitor invoicing and payment follow-up, billing and invoice discrepancies.
  • Process conference contracts, preshow promotions, and provide continuous show information and deadlines.
  • Collaborate with staff to prepare and set up online presale.
  • Support the dissemination of printed and electronic conference marketing communications and addition of exhibitor resources to the web page.
  • Coordinate on exhibitor membership enrollment and benefits activation.
  • Provide exhibitor lists and records to general service and registration and housing contractors.

Sponsorships

  • Maintain a tracking system to ensure fulfillment of sponsorship obligations and due dates and coordinate deliverables.

Minimum Qualifications:

  • Bachelor’s degree preferred. High school diploma/GED required.
  • 2 – 3 years of experience aligned with advertising, trade show exhibits, publishing, marketing or communications.
  • Computer and technology savvy with specific knowledge of and/or familiarity with InDesign, Adobe Acrobat, Microsoft Suite, SharePoint, Salesforce, iMIS and A2Z.
  • Organized with an acute attention to detail.
  • Ability to prioritize and multitask various projects.
  • Excellent communication skills.
  • Be confident and have a positive outlook.
  • Be willing to jump in an assist on any department project, as needed. 
  • Have a strong work ethic.
  • Willing to travel 1-5 days per year in conjunction with NRPA’s Annual Conference.
  • Have a strong desire to learn and be a part of a dynamic, creative team.
