Responsibilities

  • Duties and responsibilities vary and may increase according to grade level.
  • Use word processing software to create, copy, edit, store, retrieve and print forms, memos and letters and lengthy reports.
  • Establish suspense dates and bring to supervisor?s attention those that cannot be met by requested date or when there is a conflict.
  • Read incoming correspondence, publications, regulations and directives which may affect any organization, determining which can be acted on personally and take appropriate action.
  • Consolidate and finalize information for various reports in accordance with established reporting procedures.
  • Use varied functions of multiple office automation software to produce a wide range of documents, formats, etc.

Qualifications

In order to qualify, you must meet the general or specialized experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Clerical and Administrative Support Positions.

SPECIALIZED EXPERIENCE:

GS-05: One year of specialized experience to at least the GS-04 level or equivalent in other pay systems. Specialized experience must include knowledge of the nature and capability of word processing software procedures and function keys to perform a substantial range of functions such as generating tables of contents, importing graphs or databases, creating glossaries, aligning multiple columns, automatically printing document identification or other notations at the top or bottom of each page, and creating form letters and automatically merging these with mailing lists.

GS-06: One year of specialized experience to at least the GS-05 level or equivalent in other pay systems. Specialized experience must include knowledge of a body of rules, procedures, policies, regulations, precedent case files, and programs to perform the technical, personnel, administrative and workgroup support work of the organization and provide a variety of support and assistance to staff members.

GS-07: One year of specialized experience, equivalent to at least the next lower grade level GS-06 in the Federal service, which has equipped me with the particular knowledge, skills, and abilities to successfully perform the duties of the position which includes knowledge of standard processes and procedures for evaluating program efficiency to implement processes to improve programs; knowledge of organizational structure in order to assess manpower authorizations and utilization; and knowledge of the basic objectives and policies governing various management or program operations.

GS-08: One year of specialized experience, equivalent to at least the next lower grade level GS-07 in the Federal service, which has equipped me with the particular knowledge, skills, and abilities to successfully perform the duties of the position which include knowledge of administrative procedures associated with record keeping; the use of standard office equipment such as fax machine, copy machine, and computer systems including software, databases, and word processing; and the determination of supplies and funds needed to operate programs.

GS-09: One year of specialized experience, equivalent to at least the next lower grade level GS-08 in the Federal service, which has equipped me with the particular knowledge, skills, and abilities to successfully perform the duties of the position which includes knowledge of a body of established rules, procedures, policies, regulations, precedent case files, and programs to perform the technical, personnel, administrative and operational support work of the organization and provide a variety of support and assistance to assigned personnel.

GS-10: One year of specialized experience, equivalent to at least the next lower grade level GS-09 in the Federal service, which has equipped me with the particular knowledge, skills, and abilities to successfully perform the duties of the position which includes knowledge of the functional capabilities of different software types to select the best software type for each report, e.g., a database versus a spreadsheet; to identify the sorting and calculating functions to be performed, and to set up the detailed functional procedures needed to enter and to retrieve the data in the form needed for each report.

GS-11: One year of specialized experience, equivalent to at least the next lower grade level GS-10 in the Federal service, which has equipped me with the particular knowledge, skills, and abilities to successfully perform the duties of the position which includes knowledge of directives outlining the safeguarding of sensitive and classified material and organizational procedures for the sorting, collection and delivery of official mail; knowledge and skill in applying basic arithmetic to verify figures in requests for allotments, to determine availability of funds, and to enter and maintain account balances to reflect funds available and/or expended; and skill in preparing and maintaining a variety of financial records (e.g. budget requests/justification, unfunded requirements, contracting documents, expenditure documents, etc.).

KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas:

1. Knowledge of general office administrative and clerical procedures to distribute mail, answer telephone, keep appointment calendar, maintain files/office forms, and order supplies.
2. Ability to learn organization's functions and procedures sufficient to receive visitors or telephone calls, distribute mail, and maintain files, etc.
3. Ability to read and interpret specific procedural guidelines pertaining to administrative support, including locally developed equipment operating and document processing instructions, which are directly applicable to the work.
4. Ability to learn filing systems and procedures.
5. Ability to communicate effectively orally using tact and courtesy

PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.

VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

These positions are being filled under Direct-Hire Authority for the Department of Defense for Post-Secondary Students and Recent Graduates. The Secretary of the Air Force has delegated authority by the Office of the Secretary of Defense to directly appoint qualified post-secondary students and recent graduates directly into competitive service positions; these positions may be professional or administrative occupations and are located Air Force-Wide. Positions may be filled as permanent or term with a full-time or part-time work schedule. Pay will vary by geographic location.

*** The term "Current post-secondary student" means a person who is currently enrolled in, and in good academic standing at a full-time program at an institution of higher education; and is making satisfactory progress toward receipt of a baccalaureate or graduate degree; and has completed at least one year of the program.

Tax Law Impact for PCS: On 22-Dec-2017, Public Law 115-97 - the "Tax Cuts and Jobs Act of 2017 suspended qualified moving expense deductions along with the exclusion for employer reimbursements and payments of moving expenses effective 01-Jan-2018 for tax years 2018 through 2025. The law made taxable certain reimbursements and other payments, including driving mileage, airfare and lodging expenses, en-route travel to the new duty station, and temporary storage of those items.
