Responsibilities

The Advanced Medical Support Assistant (AMSA) schedules appointments in accordance with VHA 1230 National Scheduling Directive; including canceling, re-scheduling patient appointments and/or consults; including monitoring and maintenance of the Electronic Wait List (EWL). Monitors pre-appointment requirements to assure readiness for patient visit and/or procedure (e.g. x-ray, lab work, etc.). Coordinates with the patient care team to review clinic utilization by using various reports, ensures that the clinic set up is closely monitored to effectively support the needs of the clinic and makes recommendations to the Lead MSA and/or Supervisory MSA if adjustments are required. Facilitates and processes secure messaging with the patient and team through MyHealtheVet. Participates in team huddles and team meetings to manage and plan patient care, setting priorities and deadlines, adjusting workflow to meet team and patient needs. Shares information with team and providers regarding patient information (for those patients who receive care at multiple VA's or in the community and whether patients are vested). Manages patient flow to the clinic areas verifying and updating patient demographics to include insurance information. Ensuring that patient encounters are complete by check-out, cancelling, and/or no-show for timely and accurate coding. Processes all emergency and non-emergency transfers to other VA facilities or private hospitals.

Qualifications

  • United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
  • Six months of experience in clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position OR
  • One year above high school OR
  • Experience/Education Combination. One year above high school or equivalent combination of experience and education.
  • English Language Proficiency: MSA's must be proficient in spoken and written English.
  • May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).Preferred Experience: Six months of experience in clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position or one year above High School Education.Grade Determinations: GS-06Experience. One year of experience equivalent to the next lower grade level (GS-5). Assignments at this level include, but are not limited to: scheduling, canceling, re-scheduling patient's appointments and/or consults; entering no-show information; monitoring the electronic wait list; preparing for clinic visits; monitoring both inpatient and outpatient appointments for areas of responsibility; ensuring encounter forms are completed in order to obtain appropriate workload credit; verifying and updating demographics and insurance information; processing all emergency and non-emergency transfers to other VA facilities or private hospitals; performing basic eligibility, co-pays and preauthorization requirements for specific coverage (i.e., TRICARE, sharing agreements, etc.).Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate the KSAs below:1. Ability to collaborate, communicate, set priorities, and organize the work in order to meet deadlines, ensuring compliance with established processes, policies, and regulations.2. Ability to communicate tactfully and effectively, both orally and in writing, in order to meet program objectives. This may include preparing reports in various formats and presenting data to various organizational levels.3. Advanced knowledge of the technical health care process as it relates to access to care4. Advanced knowledge of managing a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.5. Advanced knowledge of policies and procedures associated with operational activities that affect the patient flow, patient care, and the revenue process.6. Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians. References: VA Handbook 5005/53, Part II, Appendix G-45The full performance level of this vacancy is GS-06.Physical Requirements: Typically, the Advanced Medical Support Assistant must be able to operate a computer terminal and be able to manage multiple activities at one time. Work is generally sedentary; however, there may be some walking, standing, bending, and carrying of light items. Work Environment: The work may be stressful due to the accelerated pace for several hours at a time during peak clinic hours or on days that have a large volume of clinic activity.

Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. VA may offer newly-appointed Federal employee's credit for their job-related non-federal experience or active duty uniformed military service. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
