Administrative Assistant of Operations and Finance

The George Mason University, Virginia Serious Game Institute (VSGI) within the College of Visual and Performing Arts (CVPA) seeks qualified candidates for a position as an Administrative Assistant of Operations and Finance. Responsibilities: The role of the Administrative Assistant of Operations and Finance is to provide administrative support by preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings for the Director and Associate Director of the VSGI.

Specific duties: * Coordinate and direct office services such as records and budget preparation, personnel records management, and financial management of all VSGI budget account in coordination with the CVPA Finance Office; * File and retrieve corporate documents, records and reports; * Make arrangements and manage schedules for committees and Executive Advisory board, and other meetings and events; * Make travel arrangements for program staff and faculty; * Attend and compile, transcribe and distribute minutes of meetings; * Order supplies and equipment, maintaining records management systems, and performing basic financial management of program budgets in coordination with CVPA's Finance Department; * Complete professional development and in-service activities in accordance with university standards; * Read and analyze incoming memos, submissions and reports in order to determine their significance and plan their distribution; * Meet with individuals, special interest groups, and others on behalf of the Program Director, committees, and boards of directors; * Manage and maintain the Director and Associate Director's schedules; * Prepare invoices, reports, memos, letters, financial statements, and other documents using word processing, spreadsheet, database, and/or presentation software; * Setup and oversee administrative policies and procedures for offices and/or organizations; * Review operating practices and procedures in order to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures; * Supervise and train clerical staff, as well as interpret VSGI administrative and operating policies and procedures for students, staff, faculty, and resident companies.

Required Qualifications: * Extensive knowledge of word processing, spreadsheets, databases, and business presentation software applications; * Possess an approach that fosters a respectful, nonthreatening workplace environment; * Have a demonstrated commitment and ability to work collaboratively within a complex work environment; * A Bachelor's degree (preferred) or an equivalent combination of education and experience; * Demonstrated administrative assistant experience (three years or more in a large organization, or five years or more in a smaller organization is preferred); * Excellent interpersonal and presentation skills; * Proven critical thinking, problem-solving, and judgment skills.
