This position is located in the Office of Nuclear Regulatory Research (RES), Division of Risk Analysis (DRA). The supervisor is Mark Thaggard. This position is not in the bargaining unit. This position is not subject to confidential financial disclosure reporting requirements and is not subject to security ownership restriction reporting requirements.

As an Administrative Assistant, you will serve the Director and Deputy Director by performing a full range of administrative, secretarial, and clerical support to the Director, Deputy Director, and his/her subordinate staff. Such duties include but are not limited to:

1. Acts as liaison in administrative matters involving scheduling of meetings and/or conferences between the Directors of other RES Divisions, NRC offices, OEDO, the Commission, representatives of private industry, and other government agencies. Maintains supervisors' calendars, arranging meetings with very little supervision, regularly informing supervisors of additions/changes to meeting schedule. Ensures that supervisor has any materials needed for meetings.

2. Reviews, assembles, and controls outgoing correspondence, reports, memoranda, and other written material prepared by the staff. Reviews, handles, and controls incoming correspondence and action items, including classified documents. Maintains a log and suspense file of all action documents.

3. Receives and screens telephone calls and visitors. Determines which callers and visitors are to be referred to the appropriate staff member and those that can be handled personally.

4. Provides support for all necessary arrangements for staff travel. Prepares travel requests, vouchers, itineraries and arranges for hotel/motel accommodations, car rentals, etc.

5. Uses Agency-wide Document Access and Management System (ADAMS) to electronically produce, store, and retrieve official agency records. Is responsible for familiarity with templates and office instructions used by the Division and is responsible for following appropriate formats and procedures.

6. Maintains Time & Labor (T&L) records for the Division. Receives, distributes, reviews, and ensures the accuracy of information from Human Resources Management System (HRMS).

In order to qualify for this position, you must have at least one year of specialized experience at the next lower grade level (7) in the Federal service or equivalent experience in the private or public sector.

SPECIALIZED EXPERIENCE is defined as experience that demonstrates thorough knowledge and familiarity with NRC administrative policies and procedures to properly prepare and review outgoing correspondence, make travel arrangements, prepare travel requests and vouchers, complete T&L cards, maintain office supplies, and perform other general administrative duties. Advanced skills in the use of Microsoft Office365 Applications (Word, Excel, Outlook, etc.) and knowledge of NRC systems (HRMS, ADAMS, and eTravel, etc.).
