Summary

This position is located in the Education Division of the Exhibitions, Collections, and Programs' (P) staff, in the Office of the Head of Education (PED). The incumbent reports directly to the Education Division Administrator (PED Administrator). The primary purpose of the position is to support division wide initiatives coordinated by the PED Administrator, the incumbent provides principal support to the PED Administrator and alternate support to the Head of Education.

Responsibilities

The incumbent:

Incumbent develops, implements, and maintains organizational systems and software to improve the administrative efficiency and communication across the Division. Incumbent is responsible for managing the division-wide stats, which includes data collection, meeting various program areas about the information they collect, reporting data to external departments, and visualizing data so that leadership can identify gaps in PED's work and pinpoint new areas of focus. Incumbent serves as the division's timekeeper. The incumbent handles scheduling, correspondence and file management, travel, supplies, purchasing, and budget tracking, and supports work related to personnel actions and files, budget management and records, agendas for meetings, and other administrative matters. Responsible for maintaining, and tracking the Division's complex recordkeeping system, from file creation to archiving.

Schedules calendar and coordinates meetings for Division Head, prepares meeting materials and reserves meeting spaces; keeps notes and records of meeting; monitors Division Head's leave schedule. Receives incoming mail for the Division, reviews Division Head's mail and other office material for distribution to appropriate department and staff. Occasionally drafts and types letters for the signature of the Division Head.

Does art historical research online and in Gallery library, as necessary, for Division Head. Creates Power Point presentations as requested. Arranges business travel, expense reporting, and reimbursements for Head of Education.

Qualifications

Candidates must meet the Qualification Standards Handbook R equirements for GS-1016-11. Applicants must have a minimum of one year of specialized experience at a level of difficulty and responsibility comparable to the next lower grade or comparable pay band in the Federal service or equivalent experience in the private sector.

For this position candidates must possess at least one year of specialized experience, equivalent in responsibility to the federal GS-9 level, providing support for division-wide initiatives coordinated by the PED Administrator, providing principal support to the PED Administrator and alternate support to the Head of Education.

  • Knowledge of art history, museum education, art education, arts administration, and/or museum studies required. Significant experience planning and implementing education programs in an art museum.
  • Thorough knowledge of art history and art education, as well as teaching experience, is needed to plan, execute, and assess programs.
  • Skill in administering an office diverse in function and composition.
