Direct the office operations for the Event and Facility Management Offices in the Department of Intercollegiate Athletics, with an emphasis on special events, facility tours, and hourly staff coordination. Special Events * Act as event manager on site for special events & other sporting events. * Communicate with potential users related to facility availability and scheduling walk-throughs. * Coordinate event and facility logistics for special event rentals by working directly with internal and external partners, including but not limited to, IT, audio, video, graphic design, web design, facilities, equipment and concessions. * Schedule and coordinate event staffing as needed (Customer Service Team ushers, Staff Pro security, Husky First Aid, Seattle Fire Dept., etc.). * Schedule and coordinate with various campus departments to provide event support (UWPD, Transportation Services, UW Recycling, UW Grounds, etc.). * Create floor plans and event diagrams for special events. * Create invoices and track billing, expenses, and other related paperwork. * Provide data and information to the Director of Sales and Special Events to guide long range planning and implementation of rental rates and policies for internal and external groups. Participate in budget planning discussions. * Schedule and lead facility tours as part of the ICA Tours Program. * Other duties and projects, as assigned. Office Management * Serve as HR Partner for Workday payroll system, overseeing HR processes for ICA Customer Service Team, First Aid staff, and football Guest Services team. * Schedule and coordinate hourly support staffing. * Order and track supplies and rental equipment. * Other duties and projects, as assigned. Football Game Day Operations * Assist the Director of Sales and Special Events to develop, establish, and implement policies and procedures for Premium Seating locations within Husky Stadium which conform to ICA customer service mission, values, and core standards. * Supervise game-day operations for beer gardens in the stadium. * Supervise game-day operations in select Premium Seating locations, Customer Service Team ushers, and Premium Seating staff. * Assist with game day set up. * Other duties and projects, as assigned. Compliance with the rules and regulations of the University, the NCAA, the Pac-12 Conference, the State of Washington and any other governing body is of paramount importance to the University. The overall responsibility of this position is for the successful operation of the program in full compliance with all such rules and regulations. As a condition of employment, the Employee shall be required to participate in rules education programs offered by the Department of Intercollegiate Athletics. REQUIREMENTS: A high school graduation or equivalent AND two years of experience in an event management, event planning, or facility management role, preferably in a Division I intercollegiate athletics sports environment OR equivalent education/experience. ADDITIONAL REQUIREMENTS: Proven ability to manage event costs and maintain customer service at a high level. Available to work nights, weekends, and holidays for events. Ability to stand and/or walk four or more hours continuously and to work greater than a 10-hour day on event days. Demonstrated proficiency in Microsoft Office and Adobe Creative Suite applications. Ability to learn staffing scheduling software and payroll software. Ability to communicate both orally and in writing; knowledge of NCAA, Pac-12, and University rules. DESIRED: Bachelor's Degree preferred. Candidates should have the ability to apply good judgement, discretion and initiative and prioritize assignments with conflicting deadlines in performing duties; the successful candidate will have strong organizational and communication skills. Experience with Workday payroll system.
