Summary

About the position: This is a RFT (full-time) position located at the Child and Youth FCC on Fort Eustis VA. Position is guaranteed 35 hours per week. This position may be subject to holidays, nights, weekends and on-call work.

Responsibilities

Oversees the administrative management of the reception area of the Child and Youth Services program. Receives children, youth, parents, and other visitors in a courteous manner. Answer telephones, ascertains nature of call and directs callers to appropriate staff, takes messages or personally provides desired information. Provides customer services expected in a "First Choice" organization. Utilizes various methods, to include an online or computerized data system, to oversee the collection, accurate accounting and reporting of funds; and to collect and maintain up-to-date statistical data for planning and reporting purposes IAW higher headquarters and statutory requirements. Utilizes a computer, electronic cash register system and other office equipment such as a calculator, etc. Provides administrative support including typing/word processing, mail preparation, copying, distribution, telephone calls, and travel orders for CYS personnel. Using office automation equipment and word processing software, prepares a variety of correspondences, memorandums, briefings and Daily Activity and other reports required for day-to-day operation. Refers to agency regulations, flip charts, dictionaries, and other typical office reference materials to ensure proper format, grammatical accuracy, and correct spelling. Maintain records, files, statistical data and suspense system. Initiates personnel paperwork as directed and helps track CYS personnel employment requirements to include, but not limited to, investigations, recurring physicals, immunizations, etc. Assists in maintaining leave records and time and attendance records. May utilize the Services Employee Timekeeping System (SETS) to complete weekly payroll. Monitors supplies and resources, preparing invoices, supply and equipment requests. Uses email to send and receive messages. Understands and articulates polices relating to patron fees, waiting lists and program events. Coordinates vacancies and reservations for the hourly care program as required. Works cooperatively with Resource and Referral to track program vacancies and occupancy rates as required. May use the Military Childcare website to monitor and place children in vacancies. May be required to work with the US Department of Agriculture (USDA) food program to complete reports and reimbursement requests. Ensure risk management procedures (i.e., abuse prevention, identification, and reporting procedures; accident prevention, etc.) are followed. Assists in facility key control. Performs other duties as assigned

  • This position requires satisfactory completion of pre-employment checks in accordance with Air Force and DoD policy, and a Child Care Tier 1 background investigation.
  • This position has been identified as a Test Designated Position (TDP). The incumbent of this position will be subject to and must consent to a pre-employment and random drug testing.
  • This position has physical lifting requirement which requires the incumbent to complete a favorable pre-employment physical.
  • This position requires the incumbent to be able to obtain, maintain, and provide evidence of current immunizations this includes annual influenza vaccinations and be free of all communicable diseases.
  • This position requires the incumbent to complete assigned training, to include Food Handlers certification, within specified time from date hire or assignment to position.

In order to qualify, you must meet the experience requirements described below. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Your resume must clearly describe your relevant experience; if qualifying based on education, your transcripts will be required as part of your application.

Qualifying Experience: Minimum of 2 years' experience in working performing progressively responsibilities administrative duties. Must be able to operate a computer and system software such as Microsoft Windows. Must have knowledge of grammar, spelling capitalization and punctuation and composition techniques needed to accurately type a variety of materials from written sources or voice records. Knowledge of formatting forms, typing policies and common terminology of the program which the work is to be performed. Possess the ability to communicate effectively orally and in writing in English. Experience working with the SETS, USDA food program, and/or Child and Youth Management System (CYMS) are highly desirable. Must meet specific physical requirements, must pass a physical examination and have required immunizations. Must be able to lift 40 lbs or more. Must be able to obtain a Food Handler's Certificate, and satisfactorily complete installation, state and national criminal background checks. Must satisfactorily complete mandatory training as specified below. Must possess maturity and good judgment and like working with children/youth and their parents

Education

Some federal jobs allow you to substitute your education for the required experience in order to qualify. This position does allow for education substitution in order to qualify.

FOREIGN EDUCATION: Education completed in foreign colleges or universities may be used to meet the requirements. You must show proof the education credentials have been deemed to be at least equivalent to that gained in conventional U.S. education program.
