POD SUMMARY The Business Operations Pod works to advance the operational sustainability of the organization and its ability to be nimble and innovative when responding to opportunities and challenges. It is specifically responsible for managing institution-wide business functions including contracting, finance, human resources, office services, systems engagement strategy, technology, web strategies, and the execution of all the organization's meetings and events. These resources are an essential foundation to ensure the delivery of high-level business processes to our stakeholders both internally and externally. POSITION SUMMARY The Senior Director of Finance is a full-time senior-level position that reports to the Senior Vice President, Operations and works closely with the President and CEO and Chief Operating Officer. The Senior Director of Finance is responsible for the financial systems and related operations of Americans for the Arts (AFTA, a 501c3 organization), Americans for the Arts Foundation, the Americans for the Arts Action Fund (AF, a 501c4 organization), Americans for the Arts Action Fund PAC, and the Arts & Business Council of New York (ABC/NY). The Senior Director of Finance also supervises the finance team members. KEY DUTIES AND RESPONSIBILITIES Key duties and responsibilities include, but are not limited to: Accounting Leadership Ensure proper internal controls and best practices in the financial operations and systems of the consolidated organizations Oversee all accounts, general ledgers, monthly financial statements, cash management and reporting systems ensuring compliance with appropriate GAAP standards and regulatory requirements as well as all requirements specific to federal government contracts and cooperative agreements, federal procurement, and Federal Acquisition Regulations (FAR). Supervise all accounting functions and systems, including accounts payable, accounts receivable, and cash receipts and ensure the timely processing of all payments Complete monthly close no later than the 20th of each month. Maintain checklist and assignment of duties for closing entries Lead quarterly budget review and forecasting meetings with key team leads Lead monthly reconciliation process for key team leads throughout the organization engaged in the management of externally funded programs and projects, preparing expense tracking reports as necessary Prepare, distribute, and reconcile monthly financial statements and ensure their accuracy and completeness Ensure financial statements are prepared based on current FASB standards. Regularly review and update as needed financial policies, standard operating procedures, forms, and systems Track bank deposits and payments and reconcile bank statements Manage cash flow Finance Leadership Coordinate and develop all consolidated organizational budgets, the annual process by which budgets are created, and budget forecasting/analysis Serve as liaison to Board Finance Committee and provide them with the information needed to approve annual budgets, monthly financial information, and other updates as needed Provide regular updates on the status, trends, and analysis of the budget to organizational management Coordinate and manage the annual financial audit and annual uniform guidance audit for all related entities. Prepare necessary schedules to ensure a timely, accurate audit. Strive to complete the audit within the first 5 months of each year Coordinate work required of staff involved in the audit process Serve as staff liaison to the board-level Audit Committee Work with the Board of Directors' Audit Committee to resolve issues and monitor trends in financial operating models and delivery Serve as organization liaison to all accounting firms, financial managers, and financial institutions conducting business with the consolidated organizations Oversee all financial, project/program, and accounting of grants and sponsorships. In case of externally funded projects/programs, ensure that expenditures are consistently aligned with grant and sponsorship budgets for the duration of the period of external support Collate all financial materials needed to comply with the reporting requirements associated with government, corporate, individual, and foundation grants and sponsorships. Clearly track multi-year temporarily held and permanently held net assets for budgeting, reporting, and auditing needs Understand application of federal and state government grant regulations, reporting, audit, and management requirements according to FFATA Oversee all financial accounting and management of contracts and cooperative agreements and produce all required materials needed to comply with reporting requirements Oversee all trust agreements and serve as liaison for trust-related institutions Oversee all work on the AFTA Foundation, including the annual transfer of investment income from permanently endowed funds housed at the AFTA Foundation to the consolidated organizations' operational budget and the maintenance of all required reports and documentation Responsible for all corporate and charitable registrations, licensing, and reporting to the IRS and in all relevant jurisdictions for the consolidated organizations Coordinate production of the annual 990s and tax returns for all organizational entities. Ensure quarterly tax payments are made in a timely manner as applicable. Maintain copies of all state solicitation and charitable registrations Continuously collaborate with team leads to assess the financial efficacy of program operations Serve as internal custodian for all CEO employment contracts and supplemental benefits Manage transition to a new accounting system and ensure that staff receive the support and training needed to implement and work with the new system Understand 501c3, 501c4, and PAC financial standards, tracking, and processing requirements Other duties as assigned Investment Leadership Direct all investment planning and management in consultation with the board-level Investment Committee and oversee the investment of the consolidated organizations' assets Conduct investments in accordance with the organization's investment policies Serve as staff liaison to the board-level Investment Committee and provide committee members with regular and timely updates. Coordinate their meetings and share notes documenting outcomes in a timely manner Serve as liaison to AFTA's investment advisory firm(s) Serve as liaison to the Americans for the Arts Foundation management firm Follow protocols to process change orders in a timely manner SUPERVISORY RESPONSIBILITIES As a Supervisor you are responsible for the performance of your direct report(s). You should guide, train, support, and motivate your team member(s) to help them accomplish their job-specific goals. As a supervisor, it is your responsibility to be knowledgeable of your direct report(s) responsibilities and know how to get the tasks accomplished in their absence. You should continually work to earn the respect and credibility of your direct report(s) by building an inclusive and supportive learning environment. As such, building trust with your team members is vital to a healthy work relationship. Specifically, you will: Performance Management Meet with direct report(s) on a weekly basis to discuss progress on projects, priorities, and goals Assist direct report(s) with workflow/bandwidth management, and ensure that direct report(s) understand their duties and delegated tasks Provide timely and ongoing constructive feedback, including soliciting feedback from colleagues from other departments with whom direct report(s) collaborate Document progress of individual direct report(s) goals by administering annual performance review and quarterly review of performance goals in compliance with AFTA's strategic plan Support and assist in planning direct report(s) professional development activities; assist with finding professional growth and education opportunities Administration Maintain a safe and healthy work environment by establishing and enforcing organization standards and adhering to legal regulations Develop and update employee job descriptions, as necessary Approve timekeeping records prior to each pay period's deadline Leadership Assist direct reports with ongoing coaching and counseling Provide quick and appropriate resolution of all challenges, discrepancies, and miscommunications Share, support, and carry out decisions made by the organization's management Ensure adherence to Americans for the Arts' personnel policies and practices Focus on creating a culture where accountability and fairness are present in every situation Support an innovative workplace that fosters creativity, encourages new ideas, and supports examining different approaches to existing initiatives Recognize the contributions of your direct reports in ways that are meaningful to them QUALIFICATIONS Ability and desire to translate complex financial concepts to individuals at all levels including finance and non-finance managers A positive attitude and an earnest interest in providing quality customer service to our members, stakeholders, and partners Ability to maintain healthy interpersonal relationships Ability to work with minimal supervision At least 10 years' experience of organizational finance experience, at least 5 of which should be in senior level positions in a nonprofit environment BS/BA in business administration/finance and accounting or related field; CPA or MBA is preferred Excellent customer service skills Excellent written and oral communication skills Experience with Dynamics/SL, Sage Intacct and Vena Solutions preferred Keen analytic, organization and problem-solving skills which allow for strategic data interpretation versus simple reporting Solid experience coordinating complex audit activities and managing reporting, budget development and analysis, accounts payable and receivable, general ledger, payroll, and accounting for investments Strong organizational skills and the ability to handle multiple projects Strong Personal Computer (PC) skills including Microsoft Office (Outlook, Word, Excel, PowerPoint), Internet research experience, a basic knowledge of any Content Management System (CMS) and basic PC troubleshooting SALARY RANGE : $95,000.00 - $140,000.00 WORKING CONDITIONS This position works 37.5 hours per week Monday through Friday around core business hours (10:00 am - 4:00 pm ET) Some travel may be required CULTURAL EQUITY COMPETENCIES Americans for the Arts acknowledges the existence of systemic and structural biases and believes it is necessary to be strategic and intentional in pursuing cultural equity in all aspects of governance, operations, and programming.
