Job Announcement

Provides technical and professional support for the procurement and purchasing of supplies, materials, services and/or equipment. Performs a complex array of advanced-level purchasing actions and has responsibility for complex procurement and vendor account management actions, to include monitoring contract and purchase order expiration dates, purchase order reconciliation, program management, and fiscal reporting. Constant vigilance is required to monitor many contract expirations and ensure allowable discounts are quoted accurately, as well as monitor multiple procurement periods of performance. Serves as the accounts payable team lead for invoice processing activities. Prepares monthly reports in the Vendor Invoice Management System (VIMS) and distributes to staff to assist in reconciliation. Reviews invoice activity and initiates the necessary follow up, to include escalations for non-approvals. Works with internal staff, the Department of Finance and vendors to resolve issues. Complies with all County fiscal policies and procedures. Possesses and maintains advanced knowledge of FOCUS procurement and accounting processes and procedures. Performs other duties as assigned. Works under general supervision.

Note: The assigned functional areas of the position are Procurement and Finance.

Employment Standards

Any combination of education, experience and training equivalent to high school graduation and four years of experience providing administrative support in the assigned functional area(s).

Direct experience and knowledge of the FOCUS/SAP system procurement and finance and budget modules, to include experience creating reports on procurement and invoice activity, as well as contract analysis, is strongly preferred. Experience supporting procurements between multiple agencies and business units; as well as the ability to interpret contracts for viability and value adjustments. Detailed knowledge of the procurement process is necessary for this role, to include experience with capital/accountable equipment purchases. Experience with the Vendor Invoice Management System (VIMS) is preferred. Availability to work overtime as needed.

Job is generally sedentary in nature; however, employee must be sufficiently mobile to deliver documents and operate keyboard driven equipment. Visual acuity is required to read data on a computer monitor and in printed format. All duties performed with or without reasonable accommodations.
