This position is located in our Vienna, VA office JOB TITLE: Human Resources Generalist REPORTS TO: Human Resources Manager POSITION SUMMARY: The Human Resources Generalist for Kemron Environmental Services, Inc. will assist the Human Resources Manager with administering all functions of the human resources department to include: all Company policies and procedures, benefits, compensation, recruiting, annual government reporting and payroll processing. This is an exempt full-time position. ESSENTIAL DUTIES/FUNCTIONS OF POSITION: Process all personnel paperwork (PARs/forms) and accurately perform data entry in the third-party payroll database as well as act as backup for the internal accounting system data entry; Process all company benefits paperwork and maintain insurance enrollment and eligibility information; Assemble and maintain electronic new hire packets and maintain all forms necessary for hire; distribute to regional offices and upload to SharePoint; Maintain all personnel files to include coordination of employee paperwork with regional office managers, FCAs and project admin; Maintain spreadsheet of data for verification of monthly benefit costs, pull electronic invoice from vendor websites and prepare check requests for employee benefit vendors and coordinate with Accounting for payment in a timely manner; Act as primary liaison with insurance companies for billing/enrollment questions; Works as initial contact for employee benefit questions and resolution of problems; Work closely with the Payroll Specialist to ensure accurate and timely entry of payroll and benefit data to effect smooth payroll processing; Provide backup for payroll administration, processing at least every third payroll; Provide primary administrative support for the Human Resources Manager; Process and maintain Short Term and Long Term disability claims; Prepare submit state new hire reports; Prepare employee 90-day probationary reports and annual review reports for all managers at least one month in advance of employee review date; follow up to ensure timely receipt of review paperwork and completed PARs; Work with the Payroll Specialist in regard receptionist duties to include telephone answering, mail distribution; Assist the Human Resources Manager and other company hiring managers with all phases of recruiting to include the preparation of job descriptions and job postings both internal and external, compensation research, initial applicant screening and maintenance of resume database on SharePoint; Assist the Human Resources Manager and Payroll Specialist in the preparation of annual reports necessary for the annual 401(k) and ESOP benefit 5500 preparation; Track all employee anniversaries for vacation accrual changes/anniversaries; Perform reference checks and employment verifications; Assist the HR Manager with the medical monitoring program; Prepare annual EEO-1, VETS-4212 reports and prepare reports for the Affirmative Action Plan and assist with Applicant Log administration; Maintain annual employee compensation spreadsheet for use in the offset of SCA and DBA fringe rates; Prepare and distribute all COBRA information packets, maintain COBRA insurance payment records and generate late notices; Provide assistance on proposals with regard to personnel information; and Provide accounting department with assistance utilizing HR data for audits and other reporting. EDUCATION REQUIRED: Must have a Bachelor's Degree or equivalent experience in HR Professional or educational certificate in HR a plus EXPERIENCE REQUIRED: Minimum 5 years' experience in a Human Resources (HR) support role; Minimum 5 years' maintaining HR data related to benefits, recruitment, and annual government reporting; Minimum 5 years' experience working in an HR or Personnel administrative position; Must have excellent knowledge of benefits coordination to include administrative paperwork and data entry; Must have a basic knowledge of payroll processing and possess the ability to process payroll. SKILLS/COMPETENCIES REQUIRED: Must possess excellent business acumen and be sensitive to corporate needs, employee goodwill and the business needs of Kemron; Ability to effectively relate to all levels of the Kemron organization; Ability to prepare and/or update HR forms, policies and the Employee Handbook; Strong general office administration skills, to include use of Microsoft Word/Excel and SharePoint; Excellent oral and written communications skills and ability to write effective and grammatically correct emails/memos/letters; Ability to easily and effectively work independently as well as work collaboratively in a small company setting; Strong multi-tasking ability; and Must possess excellent organizational skills and attention to detail. ADDITIONAL EXPERIENCE/KNOWLEDGE CONSIDERED A PLUS: Understanding of a 401(k) and/or ESOP benefit plan; Experience with 401(k) and/or ESOP administration and reports; Experience working in an employee-owned company; Knowledge of the Microsoft Dynamics accounting system; and/or Knowledge of the iSolved payroll system.
