Position Summary: The Grants Manager position works closely with finance, development, and programs staff. Reporting to the Executive Director, the Grants Manager monitors and manages a portfolio of public and private grants and assists in the ongoing development of systems and procedures to ensure effective grants compliance, monitoring, implementation and close out. Primary duties include monitoring and managing the award portfolio, donor finance reporting, grant development, project kick-off and close out. In addition, the position is responsible for preparing balance sheets, profit and loss Statements, monthly, quarterly and annual reports along will all related financial reporting data. Must have knowledge of Quickbooks. Primary Functions & Responsibilities: Work collaboratively with Executive Director and Program Manager(s) to monitor the rate of spending according to work plan and to troubleshoot and escalate issues as needed. Monitor monthly budget versus actual expenditures, compile and analyze budget submissions and assist with budget planning, modification, and reporting. Ensure activities are implemented, monitored and measured in accordance with grant requirements, procedures and regulations. Act as primary point of contact for issues related to grant compliance and reporting in the finance area. Ensure donor communications, requests and modifications are resolved, recorded and documented for future reference. Design/adapt procedures and associated tools to be used for developing, executing, monitoring and closing grants. Ensure award files are up to date, consistent, comprehensive and "handover ready" at any time. Undertake activities to ensure donor compliance is achieved including audit support; on site verification and data quality. In coordination with the finance team, help facilitate payments to partners and sub-awards. Assists in monitoring grant funded projects; verifies accuracy of financial information and cost charges to grant funded projects, including correct coding and account reasonableness; updates and maintains files and spreadsheets regarding current project budgets and schedules; monitors and updates budgets to reflect funding changes; reviews grant requests for compliance; as appropriate and within levels of authority, bills and closes out grant projects. Manage the process of developing and submitting cost proposals, budget narratives, capability statements, certifications, etc. in collaboration with program and finance team. Participate in the improvement of the financial management functions. Qualifications and Experience: Minimum 3-5 years of relevant experience in fund management, financial/operational systems, grants management, preferably within non-profit sector. Cost accounting methods and procedures. Auditing principles and practices. Excellent organization teamwork, written and verbal communication skills. Ability to work independently within expressed parameters; completing regularly scheduled tasks and adherence to strict deadlines are essential. Requirements: Bachelor's Degree in Accounting, Finance, or Business Administration is needed. Must have at least four years of non-profit financial analysis and financial reporting experience. Excellent communication and analytical skills are essential. Intermediate to advance Excel skills. Previous experience with major accounting software packages.
