Responsibilities

This Executive Assistant position is located in the Enterprise Support (ES), Transportation Security Administration (TSA), Department of Homeland Security (DHS). Duties include but are not limited to:
  • Serves as an executive assistant for the Executive Assistant Administrator (EAA) and Deputy Executive Assistant Administrator (DEAA)
  • Leads and coordinates the administrative activities and functions for the ES Front Office.
  • Ensures day-to-day action items, requests for information, and meeting logistics are prepared, coordinated, reviewed, and completed in the most effective and efficient manner.
  • Coordinates and facilitates all logistics for International and Domestic travel and travel claims for the ES Front Office (other staff as requested).
  • Performs special assignments and tasks initiated by the EAA and DEAA as requested, many of which are of a confidential nature.
  • Reviews issues and requests, consulting the Assistant Administrator of Management Coordination as necessary, to make determination on highly sensitive, complex matters that require the EAA and DEAA's attention.

Qualifications

To qualify for the SV-I Pay Band (equivalent to GS-13), you must have one year of specialized experience equivalent to the SV-H Pay Band or GS-12 in the Federal service or equivalent experience in the private sector. Specialized experience is defined as progressively responsible experience that has equipped you with the particular knowledge, skills and abilities to successfully perform the duties of the position. Such specialized experience is defined as:
  • Working on behalf of a senior official at the highest levels of an agency/organization, to provide guidance and oversight on a wide range of administrative services, inquiries, on-the-spot priority decisions and communications/general follow-up with other senior executives and staff;
  • Planning/coordinating executive level meetings and conferences that include making all necessary arrangements, researching and preparing meeting materials, organizing schedules of multiple participants, taking minutes, and following up on action items;
  • Managing an active calendar of appointments, coordinating multiple projects and serving as liaison to external constituents; AND
  • Preparing complex and detailed global travel plans, itineraries, agendas and expense reports.


NOTE: Credit for experience is given based on a 40-hour workweek. Part-time experience is credited on a part-time ratio, i.e., working 20 hours per week for two months equals one month of experience. No additional credit is given for overtime.


National Service Experience (i.e., volunteer experience): Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

The Office of Personnel Management (OPM) must authorize employment offers made to current or former political appointees. If you are currently, or have been within the last 5 years, a political Schedule A, Schedule C, Non-career SES or Presidential Appointee employee in the Executive Branch, you must disclose this information to the Human Resources Office.

Your qualifications will be evaluated on the following competencies that are relevant to the duties of this position and must be fully supported by information in your resume:
  • Knowledge of a wide variety of administrative policies, precedents, and procedures as well as management processes, systems, and requirements.
  • Ability to operate in a senior executive environment requiring knowledge of high-level protocols and experience interacting with senior officials at the highest levels of an agency/organization.
  • Skill in the preparation of complex communications to include knowledge of the appropriate communications protocols, policies, practices, and methods.
  • Knowledge and experience with computer software productivity programs such as Microsoft: Office, Word, Outlook, Access, Excel, PowerPoint, and SharePoint, as well as enterprise tools such as WebTA and Concur.
  • Skill in coordinating and making travel arrangements, to include scheduling, itinerary details, reservations, preparation of travel vouchers and pre and post trip reports and other related documentation.
  • Comprehensive knowledge of TSA programs and initiatives.
  • Skill in identifying and analyzing problems, making well-informed, effective and timely recommendations in clear, concise and technically sound oral and written communications, and coordinate where appropriate to resolve the issue.
