Position: Administration Associate, Enough Project Location: Washington DC Status: Full-time, non-exempt Reports to: Operations Director, Founding Director Position Summary Under the management of the Operations Director, the Administration Associate coordinates the day-to-day business and administrative needs of the Enough Project. The Administration Associate supports the Operations and Development Teams and manages executive support for the Founding Director. General Operations Coordinate vendor contract administration and tracking. Serve as external vendor point of contact. Coordinate electronics and equipment inventory tracking. Troubleshoot business process challenges and coordinate solutions with Operations Director. Manage office space incl. repair/improvement requests and office supply inventory. Finance Carry out financial processing, including check requests, wire transfers, etc. Support budget development and tracking. Produce monthly reviews of Enough Project financials. Support bi-annual expense coding and budget review. Staff Development Support recruitment, hiring, and onboarding. Development Operations and Digital Strategy Generate and produce responses for a number of development related external asks. Manage and update donor contacts for Development Team and Founding Director. Produce and update a Weekly Priorities memo to share with the Managing Director and Development Director. Support CRM and email campaign software set-up and troubleshooting. Support end-of-year fundraising. Grant and Donor Management: Manage grants timeline and work with appropriate staff to complete grant applications on time. Read and record weekly reports of incoming donations. Produce bi-weekly revenue reports. Write, update and mail all donation acknowledgement letters for donors. Manage donor recordkeeping and online donations via CRM software. Executive Support, Founding Director Manage Founding Director's highly detailed calendar, including organizing, coordinating and scheduling meetings with internal and external parties, domestically and internationally. Ensure agenda and logistic coordination for meetings. Manage Founding Director's travel arrangements and itineraries. Prepare, reconcile and maintain expense reports for Founding Director. Track department-level action and deadline management to ensure on-time submission of deliverables. Help coordinate Founding Director's shipping needs. Manage Founding Director signatures on donor acknowledgement letters. Provide logistical support for donor/development projects. Pick up lunches on a regular basis - ensure gluten-free and dairy-free. Support Founding Director's coordination with universities, track guest professorships. Keep Founding Director's equipment (desktop, laptop, cell phone) current with security and software updates; general equipment maintenance and troubleshooting. Prioritization, planning, and execution of special projects including events, off-sites, and preparations for potential advisory board. Prepare and handle highly confidential information. Develop and maintain document retention and retrieval systems. Act as first point of contact and liaison for some Founding Director communications, including answering phone calls, and coordinating and tracking email communications (restated) Provide relevant information in advance of meetings Compile speech, travel, or fundraising/development folders for Founding Director as necessary The Enough Project is a project of New Venture Fund (NVF), a 501(c)(3) public charity that incubates new and innovative public-interest projects and grant-making programs.
