Change Management Specialist, HRIS Communications Lead

SUMMARY:

The change management specialist will focus on the people side of change, including changes to human resources processes, systems and technology, job roles and organization structures. Heavy emphasis on corporate change management communication relevant to organizations HRIS Implementation of WorkDay. The primary responsibility will be creating and implementing change management strategies and plans that accelerate and maximize employee adoption and usage and minimize resistance. The change manager will work to drive faster adoption, higher ultimate utilization of and proficiency of the changes that will impact employees. These activities will increase benefit realization, value creation, ROI and the achievement of results and outcomes.

While the change management specialist will not have supervisory responsibility, this person will have to work through others in the organization in order to succeed. The change management specialist will provide direct support to HR leaders to successfully plan and execute change management activities, provide HR change management coaching throughout the organization as needed and support project teams in integrating change management activities into their project plans.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Apply a structured methodology and lead change management activities

•Apply change management process and tools to create a strategy to support adoption of the changes required by a project or initiative

•Support leadership with guidance on change strategy and collaborate to develop and support engagement activities

•Develop and execute detailed change management and communication plans

Support communication efforts

•Develop communication materials (e.g. presentations, FAQs, manager talking points) and review and proofread documents and presentations to ensure consistent messaging and formatting

•Support the delivery of communications to stakeholders and manage document inventory, version control and file storage

•Serve as liaison to Corporate Communications regarding HR functional area deliverables

Assess the change impact

•Facilitate Change Management meetings and work sessions (stakeholder analyses, organizational planning, etc.) and provide documentation as needed

•Conduct impact analyses and assess change readiness

Support training efforts

•Provide input, document requirements and support the design and delivery of training programs

Additional responsibilities may include:

•Identify, analyze and prepare risk mitigation tactics

•Identify and manage anticipated resistance

•Consult and coach project teams

•Support and engage senior leaders

•Coach managers and supervisors

•Support organizational design and definition of roles and responsibilities

•Coordinate efforts with other specialists

•Integrate change management activities into project plan

•Evaluate and ensure user readiness

•Manage stakeholders

•Track and report issues

•Define and measure success metrics and monitor change progress

•Support change management at the organizational level

•Manage the change portfolio

KEY SKILLS:

•A solid understanding of how people go through a change and the change process

•A strong knowledge of HRIS Systems and their usage, ideally working knowledge of WorkDay but not required

•Experience and knowledge of change management principles, methodologies and tools

•Exceptional communication skills, both written and verbal

•Excellent active listening skills
