Job Summary/Company:

Responsibilities:
  • Manage and track the administrative support activities for the program, including managing schedules and appointments for the program Director, managing electronic and paper filing systems, updating spreadsheets and reports and managing taskers assigned to the Director to meet deadlines.
  • Work closely and effectively with the Director to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately.
  • Assist with the development of standard operating procedures for administrative processes in collaboration with OCPL staff.

Qualifications/Background Profile:
  • BS or BA in Management, Communications or related fields
  • Experience working with Federal health agencies
  • Solid Microsoft Office Suite skills (including Word, PowerPoint, Excel, Project, Outlook)
  • Experience using online meeting applications (e.g., WebEx, GoToMeeting, Skype, etc.)
  • At least 2 years of experience in a government setting working for executive staff.
  • At least 2 years of administrative experience and other office manager duties .such as keeping records, preparing meetings, managing file systems, etc.
  • Team player with the ability to manage multiple tasks in a fast-paced environment with diverse stakeholders, and with tight deadlines.
  • Collaborative, proactive, detail-oriented, independent, and a fast learner.
  • Have excellent problem-solving skills with ability to analyze situations, identify existing or potential problems, and recommend solutions.
  • Possess sound business ethics, including the protection of proprietary and confidential information.
  • Typical work hours are between 8:30am -5pm.
  • Strong organizational and interpersonal skills with the ability to work independently and within a team environment.
  • Excellent oral and written communication skills; experience with written and oral presentation of data, ability to interact professionally with program leadership and client staff.
  • Detail-oriented, organized, fast learner, meticulous, and able to work at a fact-pace with tight deadlines.
