Job Announcement

Serves as a Subject Matter Expert and Team Leader of the Civil Case Processing team of the Fairfax Circuit Court. Performs lead administrative duties ensuring coordination and consistency in processing a civil or domestic law cases, from initiation to completion. Responsibilities include, but are not limited to: assisting in training staff, updating training manuals, serving as a Subject Matter Expert in all civil case processes, establishing and revising Circuit Court forms and reconciling forms practice to Virginia Supreme Court standards, and performing all tasks as a floater in the team. Processes income deduction orders, Restoration of Driving Privileges, concealed weapon permits, adoptions, exhibits, expungements, final decrees, domestic & civil law orders, Pro Hac Vice, show cause orders, juvenile appeals, updating and maintaining attorney contact information in case management system. Requires advanced knowledge of Supreme Court of Virginia rules & procedures & interpretations relating to Virginia civil procedure, local trial court practice, and Virginia domestic law. Must be able to interpret and apply legal terms, court rules and clerk's office procedures to civil and domestic law cases.

  • Serves as a resource, trainer, and technical expert in an assigned area;
  • Manages complex and technical cases that require the application of broad knowledge of the legal guidelines and procedures associated with the particular assignment;
  • May serve in a lead capacity over a team of clerks assigned to the same operational functions;
  • Assists the supervisor with staff scheduling, work assignment, training, and reviewing the work of unit staff;
  • Routinely trains and mentors less experienced staff;
  • Resolves more complex customer service issues received by phone, email, fax, mail, or in person;
  • Recommends process improvements and assists in implementation;
  • Serves as backup to supervisors in their absence.


Required Knowledge Skills and Abilities

  • Knowledge of the functions of the assigned business areas and/or court procedures;
  • Knowledge of the Code of Virginia, the Virginia Supreme Court's Clerk's Manual, laws and regulations related to the assigned business areas;
  • Knowledge of standard administrative procedures, practices, and equipment;
  • Ability to interpret and explain complex rules and regulations to staff and customers;
  • Ability to communicate courteously and effectively, both verbally and in writing;
  • Ability to motivate, train, and mentor staff;
  • Ability to develop and maintain effective working relationships with a variety of individuals, including the judges, general public, members of the legal and business community, and department staff.


Employment Standards

MINIMUM QUALIFICATIONS:
Any combination of education, experience and training equivalent to high school graduation;
plus three years of experience providing administrative support, technical support, customer service, or working in a court or legal environment.

NECESSARY SPECIAL REQUIREMENTS:
The appointee to this position will be required to complete a criminal background check to the satisfaction of the employer.

PREFERRED QUALIFICATIONS:
  • Three or more years of court and/or legal experience
  • Knowledge of the Code of Virginia and regulations in relevant areas
  • Excellent attention to detail and organizational skills
  • Clear and concise oral and written communication skills
  • Experience working in a team environment
  • Ability to exercise tact, discretion, initiative, creativity, and independent judgment
  • Experience in the used of Microsoft Office computer software, especially Word, Excel, and Outlook.
PHYSICAL REQUIREMENTS:
Must be able to lift boxes and push a cart weighing up to 20 pounds. Must be able to enter and retrieve data from a computer. Physical requirements can be performed with or without accommodations.
