The Fairfax County Health Department is the largest public health department in Virginia, serving 1.2 million residents from diverse ethnic, cultural and economic backgrounds throughout Fairfax County, as well as the cities of Fairfax and Falls Church and the towns of Herndon, Vienna and Clifton. Provides day to day administrative support for operations within the department, program or local office setting. Manages the mailroom to include mail distribution, supply inventory and ordering, organization, and acts as the courier services liaison. Responsible for data entry and database maintenance of systems that support program services. Maintains and archives records. Prepares and types various reports, tables, memoranda, letters, and meeting minutes. Serves as the receptionist including answering calls and greeting visitors. Works with the Health Department administrative assistant team and performs other general office duties. In the absence of the Administrative Assistant IV and V, may assume partial responsibility for site management functions. May have full or partial supervisory responsibilities for volunteers.

Note: The assigned functional areas of responsibility include general office administration, receptionist/public contact, and information systems/software.

Required Knowledge Skills and Abilities

Knowledge of standard rules and interpretations within own functional area and a working knowledge of established methods and procedures used in related areas;
Significant nonstandard skill/knowledge is required involving production of an end product such as a report.
Word Processing/Typing
Basic skills in the use of Microsoft Word.
Math Skills
Basic math skills.
PC Skills
Basic skills in the use of applicable Microsoft Office Suite software.
Communication
Ability to write simple documents.
Information Abilities
Ability to process and integrate complex data.
Interpersonal Abilities
Ability to establish and maintain effective working relationships with both external and internal contacts.
Purchasing and Accounting
Ability to perform data entry into Purchasing/Logistics Enterprise Resource Planning systems and/or Financial Enterprise Resource Planning systems in at least three functions (e.g., create shells, accounts payable processing).
Personnel and Payroll
Ability to perform routineHuman Capital Management Enterprise Resource Planning system functions (e.g., process PARS, requisitions).
Executive Assistance
Ability to maintain confidentiality and be sensitive to political issues.

Employment Standards

MINIMUM QUALIFICATIONS:
Any combination of education, experience and training equivalent to high school graduation and two years of experience providing administrative support in the assigned functional area(s).

NECESSARY SPECIAL REQUIREMENTS:
The appointee to this position will be required to complete a criminal background check, a child protective services check, and sanction screening to the satisfaction of the employer.

PREFERRED QUALIFICATIONS:
The preferred candidate will have four or more years of experience providing administrative support in a fast-paced office environment. Experience with data entry, database maintenance, filing systems and scheduling. Knowledge of procurement practices, policies, and procedures is a plus. Must have a high level of integrity and discretion in handling confidential information. Excellent customer service skills with the ability to interact in a friendly, service-oriented and professional manner with internal and external customers. Position requires the candidate to work independently and in a team environment, be proactive, exercise good judgment, and use critical thinking skills. Ideal candidate is highly organized, demonstrates exceptional interpersonal skills and ability to effectively communicate, both orally and in writing. Must have the ability to manage multiple tasks simultaneously. Ability to prioritize and complete assignments timely. Proficiency in the use of Microsoft Office 365 (Outlook, Word, Excel), and other software applications. Prior supervisory experience or demonstrated work experience monitoring and directing the work of others is a plus. Experience and knowledge of Health Department policies and procedures is desirable. Bilingual Spanish/English is a plus.

PHYSICAL REQUIREMENTS:
Job is generally sedentary in nature, and job requires walking, standing, sitting (for long periods of time), and kneeling, reaching, bending, climbing stairs; uses hands to grasp, handle, or feel. Visual acuity is required to read data on a computer monitor; ability to operate keyboard driven equipment and computer. Position frequently communicates and must be able to exchange accurate information with others verbally and in writing. Employee may be required to lift or carry up to 25 lbs. occasionally. Generally works in an office environment yet may occasionally be required to perform job duties outside of the typical office setting. All duties performed with or without reasonable accommodations.
