Job Announcement

Performs administrative duties to support the Community Corrections Services staff which includes the Probation Supervisor II (Unit Director), Probation Supervisor I (Assistant Unit Director), one Probation Counselor I and 12 Probation Counselor II's. Serves as the primary Administrative Assistant for the Pretrial Services Program within the unit and assists the Administrative Assistant III with Probation services and other duties as needed. Uses professional knowledge and independent judgment to assist this and other local, state and federal government jurisdictions and citizens to provide accurate and reliable information either in person, via telephone or email. Serves as a primary point of contact, answers incoming calls, greets public and exercises tact, discretion and sensitivity to clients' needs and/or make referrals to the appropriate personnel. Ensures confidentiality of court records and information concerning clients. Must have extensive working knowledge of frequently used systems and databases. Processes all information related to legal and/or non-legal action for intake of Juvenile Domestic Relations District Court (JDRDC) cases, schedules appointments, enters information into the Pretrial and Community Corrections (PTCC) case management system, runs NCIC/VCIN record checks and submits reports to the Court. Maintains multiple spreadsheets in tracking data points for the Pretrial Services Program. Processes travel vouchers for staff. Maintains office equipment, supplies, mail distribution and daily functions of workflow in the office. Participates in training that focuses on skills specific to job requirements. Also participates in training that helps the unit in its ability to perform its service to the public.

Employment Standards

MINIMUM QUALIFICATIONS:
Any combination of education, experience and training equivalent to high school graduation and one year of experience providing administrative support.

NECESSARY SPECIAL REQUIREMENTS:
The appointee to this position will be required to complete a criminal background check and a check of the Child Protective Services Registry to the satisfaction of the employer.

PREFERRED QUALIFICATIONS:
Three years of experience working in the Judicial system. Excellent oral and written communication skills with a strong attention to detail. Outstanding organizational skills with the ability to prioritize work and make decisions independently with minimal supervision. Experience working in high volume Community Corrections or other probation office. Bi-lingual in English and Spanish. Experience working with the following programs: Word, Excel, Outlook, Publisher and PowerPoint. SharePoint, Court Management System (CMS), Pretrial and Community Corrections (PTCC), Juvenile and Domestic Relations Document Imaging System (JDIS), Juvenile and Domestic Relations Secure Viewing System (JSVS), Sheriff Information Management System (SIMS), ScheduleVIEW, Full Court and National Crime Information Center(NCIC)/Virginia Criminal Information Network(VCIN).

PHYSICAL REQUIREMENTS:
Job is generally sedentary in nature however, visual acuity is required to read data on computer monitor, incumbent must be able to operate keyboard driven equipment. Must communicate with others. Employee may require to lift-up to 15 pounds. Physical requirements can be performed with or without accommodations.
