Responsibilities

The incumbent performs administrative program work and provides advice and assistance to the Assistant Director for Visitor and Guest Services, Office of External Affairs. Duties include:
  • tracking, investigating and preparing summaries of various projects, their milestones and deliverables;
  • collecting, organizing and assembling information from various offices/units enabling the Assistant Director to facilitate effective and timely decision-making;
  • analyzing and evaluating the effectiveness of visitation protocols and operations;
  • alerting the Assistant Director of conflicts in protocols and operations requiring immediate attention;
  • addressing problems in administrative functions pro-actively and independently;
  • maintaining calendar(s) to support Assistant Director and visitor services team;
  • creating and submitting travel authorizations and travel vouchers; and
  • processing invoices, procurement documents and other transactions in financial systems.

Qualifications

Experience: You qualify for this position if you possess one year of specialized experience equivalent to at least the GS-07 level in the Federal Service or comparable pay band system. For this position specialized experience is defined as: reading and responding to internal and external inquiries; preparing agendas, minutes and other materials for meetings; preparing letters, memos and reports using Word, PowerPoint and Adobe; arranging travel and processing travel authorizations and vouchers; establishing and maintaining office files and schedules using Microsoft Outlook and Teams; tracking projects/deliverables using Smartsheet or other project management tools; compiling, synthesizing and assembling data and graphics in Excel for reports; and managing financial transactions, expenses, and procurement.

Part-time and/or unpaid experience related to this position will be considered to determine the total number of years and months of experience. Be sure to note the number of paid or unpaid hours worked each week.

Or Education: Two full years of progressively higher level graduate education leading to a master's or equivalent degree related to the position may be substituted to meet the experience requirements. (Master's in Project Management, Museum Studies and Business Administration, is preferred)

How You Will Be Evaluated

You will be evaluated for this job based on how well you meet the qualifications above.

Your application will be evaluated first for the basic qualifications described above. The applications that meet the basic qualifications will be evaluated further against the following criteria:

1. Ability to provide high-level administrative support to senior management, including screening calls, managing and maintaining calendars and monitoring project deliverables.

2. Knowledge of procurement, travel, and financial management practices using automated systems to record and monitor funds expenditures and balances.

3. Ability to communicate effectively in writing using correct and proper English grammar, spelling, capitalization, punctuation, and terminology.

4. Skill in software applications, such as Microsoft Office Suite technology and office practices.

5. Knowledge, skills and practice of project management.

Applicants who meet or exceed minimum qualifications will be assigned to one of three category groups based on job-related criteria:

Best Category - Meets the minimum qualification requirements and excels in most of the job related competencies above.

Better Category - Meets the minimum qualification requirements and satisfies most of the job related competencies above.

Good Category - Meets the minimum qualification requirements, but does not satisfy most of the job related competencies above to a substantive degree.

This category rating process does not add veterans' preference points or apply the "rule of three", but protects the rights of veterans by placing them ahead of non-preference eligibles within each category. A selecting official may make selections from the highest quality category (Best Category) provided no preference eligible in that category is passed over to select a non-preference eligible in that category unless the requirements of 5 U.S.C. 3317(b) or 3318(b) are satisfied.
