This position is located at the Armed Forces Retirement Home in Washington, DC, and is responsible for providing a wide range of administrative support services to carry out overall objectives of the office and ensure the effectiveness of the office is maintained.

Responsibilities

As a GS-09 Administrative Assistant (OA), you will:
  • Serve as the liaison between the Service Chief, the Director and other Service Chiefs and all other internal and external customers. Tactfully determine the name and affiliation of callers and nature of calls. Personally handle many matters, answering questions of an administrative/general nature, or refers the caller to the appropriate office.
  • Maintain the calendar of the Service Chief, and resolve any scheduling conflicts. Arrange meetings, to include time, space, attendance and any equipment needs. Prepare and distribute meeting agenda. Attend meetings and record minutes, and prepare minutes for distribution. Prepare a variety of documents using word processing, spreadsheets and databases. Edit and reformat electronic drafts and transmits/receives documents and messages electronically, ensuring grammatical accuracy and conformance with established formats.
  • Handle all incoming correspondence. Determine which correspondence may be forwarded to the Service Chief and/or staff for proposed action. Prepare letters of acknowledgement and other routine correspondence based upon knowledge of the office. Responsible for reviewing and editing incoming correspondence and ensures timely flow through the office. Screen incoming correspondence and determine proper action needed; such as establishing suspense dates and drafting replies.
  • Ensure travel arrangements are accurately prepared in a timely manner, to include most cost effective mode of transportation, making reservations, planning itineraries, coordinating with point of contact at TDY site, and preparing travel voucher upon completion of travel. Prepare background materials as required for staff visits or conferences.
  • Establish and maintain office files of various types. Requisition office supplies, and coordinate printing of documents. Maintain and input time cards.

Qualifications

You must meet the following requirements within 30 days of the closing date of this announcement.

Typing Requirement

This position requires a certified typist that can type at least 40 words per minute.

AND

Specialized Experience: For the GS-09, you must have one year of specialized experience at a level of difficulty and responsibility equivalent to the GS-08 grade level in the Federal service. Specialized experience for this position could include:

Ensuring administrative support work is performed in compliance with relevant regulations, guidelines and policies;
Creating, proofing, and editing documents;
Monitoring and, adjusting budget accounts;
Procuring items for the office and/or department;
Ensuring the accuracy and completeness of time and leave documents,
Answering general information questions from customers and/or visitors.

In addition to the above requirements, you must meet the following time-in-grade requirement, if applicable: For the GS-09, you must have been at the GS-08 level for 52 weeks.

Time After Competitive Appointment: Candidates who are current Federal employees serving on a non-temporary competitive appointment must have served at least three months in that appointment.
