State & Community Engagement (SCE) is part of Community, State and National Affairs (CSN). The SCE team includes: 53 states and territories across 6 regions with regional management, the Office of Volunteer Engagement, the Office of Community Engagement (including the National Retired Teachers Association (NRTA): AARP's Educator Community), and the Legal Counsel for the Elderly (LCE).

Summary

Provides support for national and state campaigns, initiatives, and programs. Provides primarily administrative support to all aspects of state work, including communications, advocacy, community outreach, and member and volunteer engagement. Provides support with the coordination of programs or issue-related projects. Researches programmatic or issue-related areas and resolves, as appropriate. Utilizes a high degree of technological aptitude in support of office requirements. Performs activities directed by the Supervisor of Operations, State Director, or other assigned supervisors. Incumbent(s) in this position may perform all or a significant combination of the tasks described below depending on operational requirements, assigned location, and individual areas of expertise.
Responsibilities

1. Provides day-to-day administrative, logistical, and systems support for the State Director and designees as assigned. During periods when the SOO is absent or unavailable, monitors office activities and refers requests for action/information to appropriate personnel.

2. Acts as a first point of contact in the state office for AARP members, the public, volunteers, and vendors. Answers general questions about AARP's programs, products & services and directs members and the public to the appropriate departments as needed.

3. Prepares or supports preparation of advocacy grassroots communications, digital communications, flyers, brochures, alerts, direct mail pieces, letters, memos, presentations, and training materials. Coordinates schedules and delivery of materials. Supports the creation, design, and editing of monthly newsletters.

4. Answers State e-mails, phone calls and maintains the office mailroom, including coordination of state office mailings.

5. Maintains project/activity work plans and calendars along with the State Office master calendar across multiple system platforms. Manages administrative requirements and coordinates activities to support the various programs and events. Serves as a resource person to staff and volunteers. Participates in team meetings, maintains records, and prepares reports.

6. Manages Volunteer Portal and updates as needed. Gathers, organizes, files and manages volunteer-related data. Assists with coordination of volunteer recruitment, training, and engagement. Tracks volunteer/project activities or resources. Assists volunteers in completing travel and subsistence reports as needed.

7. Assists Foundation program volunteers within the state including; Tax-Aide, Driver Safety, and the Virginia Retired Teacher Association.

8. Orders brochures, publications, supplies, and forms from Fulfillment, as well as promotional items from Brand and third-party companies. Anticipates the need for these items at events and also maintains a supply on hand at all times.

9. Demonstrates AARP values in all interactions.
Requirements

Completion of an Associate's Degree in a related discipline and 2 years of progressively responsible administrative experience, or an equivalent combination of training and experience related to the duties of the position. High degree of proficiency with MS Office Suite and general technological aptitude. Occasional travel may be required.
