Under the general guidance of the Director of Training and Education, the Marketing and Events Assistant will be responsible for coordinating the lifecycle of the Firm's training programs to include planning, production, and execution for webinars, workshops, and off-sites events as well as assisting with client-related events. Additional responsibilities include providing marketing support to the Firm's attorneys and practice areas including assisting with social media, blogs, website content, attorney biographies, marketing collateral, advertisements, sponsorships, etc. Duties and Responsibilities: Event Management Coordinate all events from initial design and pre-planning stages through execution and follow-up. Manage the logistics during the event planning process, including, as applicable: ○ Event timelines and checklists; ○ Attendee communications, including registration/RSVPs and LMS messaging; ○ Hotel room block and other accommodation logistics; ○ Food and beverage ordering and management; ○ Function space allocation and room set-ups, AV equipment; ○ Speaker coordination; ○ Print production including vendor quotes; ○ Proofreading and producing slides, nametags, handouts, and other materials; ○ Continuing education credit coordination; ○ Packing and shipping of materials; ○ On-site set-up and supervision; and ○ Post-event follow-up. Develop and manage event budgets, track expenses during planning process, and produce event summaries with final expenses. Review and summarize attendee evaluations and, as applicable, recommend changes to future events. Assist in post-event debrief with department head and speakers. Maintain a detailed electronic filing system for all events. General Marketing Activities Coordinate content for the Firm's website and work with attorneys on updates and content development. Collect, coordinate, and track data for award submissions. Assist in maintaining Firm client/prospect mailing lists and practice area press lists. Maintain and catalog Firm marketing materials including attorney photos, videos, biographies, advertisements, flyers, etc. Assist in creating and/or updating promotional materials including attorney bios and speaking engagements; practice group descriptions; flyers; postcards; etc. Participate in team strategy sessions regarding programming and scheduling. Conduct market research on competitors; prospects; new markets; trends; etc. Other duties as assigned. Experience Bachelor's degree in Marketing, Business, or a related field required. Minimum 2-3 years of marketing, preferably in professional services. Experience with event/meeting planning or customer service preferred. Proficiency in Microsoft Office (Word, Excel, PowerPoint) required. Experience with Adobe Suite (Illustrator and PhotoShop). Ability to work independently as well as on a team. Excellent attention to detail. Ability to multi-task in a fast-paced environment with shifting priorities and deadlines.
