The Director of Operations will work closely with partners and be responsible for optimizing firm workflow, promoting a culture of strong communication and teamwork, and taking a hands-on approach to daily operations. This will align with our two main goals of ensuring successful team member careers and providing outstanding client service. Oversee workflow of client deliverables in coordination with client service and administrative staff Intermediary for workflow priorities, scheduling conflicts, and managing internal and external expectations Monitor the scheduling of assignments and workflow balance for the firm Primary point of contact for planning and execution of audit and assurance staff scheduling and production needs Be a subject matter expert and champion of the firm's practice management software and workflow/document management software to ensure firm personnel are adequately trained and the firm is leveraging the full capabilities of the system. Establish processes and monitor compliance to ensure underlying data is accurate for effective use and decision making Monitor staff capacity and compare to production needs to determine appropriate staffing levels Oversee execution of client onboarding process Oversee administrative support staff to ensure production, client service, facility, and general office matters are effectively handled Oversight of engagement letter process to ensure firm is maximizing profits and limiting professional liability risk Assist the Director of HR to support the success of the Human Resources function Champion and enhance timekeeping, billing, and collection policies and procedures Facilitate compliance with timekeeping, billing and collection policies Work with billing manager to create documentation and conduct training sessions to ensure billing managers understand processes and the practice management software Oversee timely billing and collections with administrative support Assist partners with developing procedures and action plans to carry out policies established by management Understand IT inventory and work with IT and management to execute roll outs of new systems as well as ensure personnel are adequately trained Identify manual processes that can be automated and work with appropriate personnel to execute Monitor and implement routine formal and informal communication between management and staff Interface with industry peers and management experts to benefit Firm operations Maintain an effective-level knowledge of issues affecting the CPA profession as they relate to successful management of the Firm RequirementsThe successful candidate learns quickly and is very organized, highly motivated, detail oriented, and able to manage multiple projects concurrently. They will also lead by example through demonstration of initiative, vision, resourcefulness, creativity, and independent thinking.
