Summary

The Development Assistant for Foundation Giving provides key support for the Senior Development Officer for Major Gifts and Foundation Giving and the Development Officer for Foundation Giving in their efforts to raise external funds for priority needs as defined by the leadership of the Gallery. The incumbent assists with database entry and maintenance, the drafting, production, and mailing of correspondence, the tracking of reporting requirements, and other tasks as assigned.

Responsibilities

The incumbent:
  • Maintains records of correspondence and other contact with donors and prospects. Helps track prospect management moves and proposals. Assists with gift entry for works of art and other database work as needed. Ensures the integrity of information in the database.
  • Assists with the drafting, production, and mailing of correspondence, including thank you letters, reports, proposals, catalog mailings, and other correspondence as assigned. Under the guidance of the Senior Development Officer for Major Gifts and Foundation Giving and the Development Officer for Foundation Giving, liaises with financial, curatorial, educational, and other Gallery staff to assemble programmatic information for reports and proposals. Assists with the process in a way that fosters teamwork and coordination.
  • Helps track reporting requirements for major gifts from foundations and individuals. Under the guidance of the Senior Development Officer for Major Gifts and Foundation Giving and the Development Officer for Foundation Giving, prepares periodic reporting schedules for the offices of development and the treasurer, and for the education division. Helps ensure that deadlines are met and that donors are stewarded in an ongoing manner and in a way that adheres to their specific reporting requirements.
  • Assists with making arrangements for donor and prospect visits, including reservations and other tasks.
  • As needed, helps research local and national foundation prospects who have indicated an interest in art and who have a capacity to make gifts of $100,000+.
  • Develops and maintains an understanding of all facets of the institution's permanent collection, special exhibitions, educational offerings, and other activities in order to help maximize potential opportunities and ways to engage current and prospective donors.
  • Carries out other responsibilities when assigned.

REQUIREMENTS:

Physical requirements: Work is primarily sedentary; however, some walking is required to go to other offices in the Gallery.

Qualifications

Candidates must meet the Qualifications Standards Handbook requirements for the NF-301-5 , which requires at least one year of specialized experience equivalent to the federal GS-4 level helping to manage and implement the daily operations of a foundation or major gifts program.

An equivalent combination of education and experience is fully qualifying and meets the minimum qualification requirements.

Those applicants who meet the minimum qualification requirements will be evaluated against these factors to determine the best-qualified candidates. Applicants must describe their possession of each of these factors individually in a one to two page cover letter as a part of their application.
  • Strong organizational skills and attention to detail. Ability to implement, coordinate, and complete projects in a timely manner, and to establish priorities and perform work independently.
  • Experience with computer databases, word processing, spreadsheets, and methods for tracking program activity.
  • Ability to communicate effectively with a variety of individuals both inside and outside the Gallery. Excellent command of English usage, grammar, and spelling, both in verbal and written form.
  • Ability to maintain confidentiality of development office and Gallery information.
  • Ability to establish effective working relationships with Gallery staff and others of importance.
  • Experience in a museum or cultural organization, and basic familiarity of fundraising theories, strategies, and practices, is preferred.
