Summary

This position is located in the National Gallery of Art's Development Office, which is primarily concerned with creating and sustaining the momentum for giving as well as the continued identification, cultivation, and stewardship of prospects and donors. The incumbent provides key support for these activities by performing a full range of clerical support functions as well as general office management duties.

Responsibilities

The incumbent:
  • Provides general office assistance with filing, answering phones, greeting guests, distributing mail, photocopying, and scanning.
  • Provides backup support to the Administrative Officer and Development Assistant for Operations, particularly with answering phones and scheduling.
  • Enters data into Raiser's Edge database as instructed, especially in adherence with the prospect management procedures.
  • Assists with logistical arrangements for the Trustees' Council and Collectors Committee meetings, including reservations, presentations, and materials.
  • Makes appropriate arrangements, e.g., parking and Refectory reservations, as needed.
  • Assists with production of letters and correspondence.
  • Arranges mail, courier, and delivery services.
  • Assists with special projects such as large mailings, arranging donor tours, etc.
  • Assists with hand delivery and pick up, as needed, to and from other departments.
  • Maintains cooperative working relationships with other departments and personnel who provide services to the Development Office.

Qualifications

Candidates must meet the following qualification requirements GS-301-5 to be qualified for this position:
• 4 full-time years of education above high school,
• One year of specialized experience equivalent to at least GS-4 level. Specialized experience is administrative support work performing a variety of similar functions as described in the DUTIES section above, OR
• An equivalent combination of education and experience.

  • Knowledge of basic development and accounting principles and practices.
  • Knowledge and skill working with database management systems, especially: prospect management tracking; updating constituent information; as well as running donor, event, and gift reports.
  • Ability to communicate effectively, verbally and written, with sound knowledge of English grammar, spelling, and punctuation.
  • Ability to establish priorities and perform work independently.
  • Skill in dealing with a wide variety of individuals on sensitive matters using diplomacy and tact.
  • Ability to maintain confidentiality of office information as appropriate.
