This is specialized clerical and administrative support position that oversees the operations at the Administration Building front desk. The Receptionist will be responsible for office operations requiring well-developed and skilled office procedures including, but not limited to: greeting visitors and directing them to the appropriate office/floor/conference room; managing the visitor management systems; word processing to produce documents; communicating relevant program information to other parties; and assisting with arranging events. The Receptionist will coordinate with other personnel on the Administration Building Operations Team to ensure continuity and training on all front desk operations.


The following information is intended to describe the overall nature and scope of the work being performed in relation to the position. This is not a comprehensive listing of all responsibilities or tasks; other work may be assigned when deemed appropriate:
• Manages all operations and communications at the Administration Building front desk, including ensuring building access and lockup, greeting visitors, answering and directing calls appropriately, and coordinating with other building departments and divisions related to visitor preferences.
• Manages the building visitor management system, including tracking and allocation of visitor badges, dependent on visitor needs.
• Assists in the preparation of a variety of correspondence, bulletins, technical and non-technical material, and composes letters of a routine nature; produces documents including formatting, corrects grammar and spelling; prints documents and arranges for mailing or distribution.
• Answers inquiries within areas of authority and refers other calls to appropriate staff.
• Maintains accurate/detailed logs, schedules, files and other office records.
• Serves as a backup to the Administrative Office Assistant (Building Operations).
• Assists with the automated facility use process including data entry, communication with staff, follow-up to inquiries and aligning of first floor room setup in the facility use system.
• Maintains up-to-date Administration Building conference room calendar from the facility use system.
• Participates in arranging events and conferences by securing proper space and associated services.


• High School Diploma or GED required
• Knowledge of modern office practices, including use of full-function computer skills
• Ability to perform work accurately and quickly; possess excellent oral and written communication skills; must work cooperatively with others and work under pressure with frequent interruptions
• Bilingual preferred

Physical Requirements:
While performing the duties of this job, the employee is regularly talking, expressing or exchanging ideas by means of the spoken word. Those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly. The employee must possess normal cognitive abilities including the ability to learn, recall and apply certain practices and policies. Frequently sitting and/or remaining in a stationary position for long periods of time. Exerting up to 25 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
