Responsibilities

As a ADMINISTRATIVE MANAGEMENT SPECIALIST at the GS-0301-11 some of your typical work assignments may include:
  • Provides guidance to departments on administrative processes for completing various administrative actions, correspondence and action memorandums.
  • Coordinates and independently screens staff actions, including receipt control, editing, correcting and forwarding all actions originating from a variety of sources.
  • Reviews correspondence and action papers submitted to ensure that the material is properly related to the basic issue or request.
  • Exercises judgment in researching regulations and in determining the relationship between guidelines and organizational efficiency and program effectiveness.
  • Reviews internal administrative policies and processes within the directorate and recommends solutions to administrative problems or ways to improve administrative efficiency.
  • Ensures office policies and procedures used for administrative activities are current, effective, and in accordance with established DTRA guidelines.
  • Establishes and maintains a variety of personal and official files and records. Uses a variety of office automation software to prepare, review, and track correspondence and logs and tracks all actions routed through the executive office for comment/approval/signature/certification.
  • Screens visitors and telephone calls to determine what requires immediate action by the J2/5/8R senior staff.
  • Maintains various calendars, scheduling appointments, meetings and conferences.
  • Makes arrangements for meetings and conferences, transmits agenda and background material to participants and advises them of topics to be discussed.
  • Maintains internal records disposal program for the front office and ensures the storage and maintenance of official records of permanent value according to Agency, Office of the Secretary of Defense (OSD), and National and Privacy Act Directives.Manages Directorate Enterprise Information System (EIS) for both classified and unclassified taskers.
  • Assigns and maintains an official electronic record of all tasker numbers issued.
  • Identifies appropriate person or office for primary (OPR) and contributing (OCR) responsibility and assigns tasker.
  • Seeks guidance to assign more complex, less straightforward taskers.
  • Maintains status of internal and external taskers including personal follow up with OPRs as required.
  • Reviews final taskers/action packages and makes necessary corrections before forwarding documents for approval and/or signature. Provides for publication and final disposition of documents.
  • Searches for and selects necessary background reference papers and materials, determines their applicability to the subject, and ensures that papers and materials are fully documented prior to their release.
  • Maintains accurate electronic records on the status of all documents processed.

Qualifications

You may qualify at the GS-11 grade level, if you fulfill the following qualifications:

A. One year of specialized experience equivalent to the GS-09 grade level in the Federal service:
  • Managing an extensive tasking and suspense system
  • Maintaining dynamic scheduling of calendar for an CEO,CFO, SES, Flag or General Officer
  • Performing department-level security and records management duties
  • Scheduling travel and managing logistics for senior staff.
  • Maintaining Department and SharePoint websites
B. 3 full academic years of progressively higher level graduate education of Ph.D. or equivalent doctoral degree, from an accredited college or university
C. You have some specialized experience as described in A, but less than one year; and you have more than one year but less than two years of education as described in B. You have computed the percentage of the requirements that you meet, and the total is at least 100%. (To compute the percentage, divide your total months of qualifying experience by 12. Then divide your semester hours of graduate education beyond the first year by 18. Add the two percentages. The total percentage must equal at least 100 percent to qualify.)

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
